Description

Under general supervision from the Program Manager, the Data Specialistcoordinates data entry and reporting activities for the Refugee Services Department. The Data Specialist effectively supports ongoing and collaborative communication amongst all program staff and funders and is responsible for ensuring a trauma informed care environment.

Essential Duties and Responsibilities

  • Enters client and service data in program, department, and funder databases.

  • Creates reports from program and funder records.

  • Responds to data and report inquiries from supervisors and funders.

  • Keeps track of client and service information for reporting and quality assurance purposes.

  • Provides reports and related information to support regular program quality assurance practices and keeps track of quality assurance activities.

  • Assists programs in preparing for internal and funder monitoring.

  • Provides support to the department in overall client records management.

  • Contributes to team efforts by accomplishing related activities as needed.

  • Maintains the confidentiality of all client records per the requirements of HIPAA.

  • Is aware of and actively supports the agency’s cultural competence goals, efforts, and activities.

  • Participates in relevant Agency meetings and training.

  • Actively pursues development of professional competencies related to job role performance through reading, supervision, in-service training and attendance at conferences and workshops.

  • Awareness and active support of the Agency's Mission, Vision, Values and Strategic Plan. Including, but not limited to, supporting the Agency's Core Competency initiatives of being Collaborative and Community Focused, Innovative and Entrepreneurial, and Culturally Competent and Diverse

  • Other duties as assigned.

Qualifications

Education: High School Diploma/GED required. Associates Preferred. Equivalent combination of education and experience will be considered • Excellent organizational skills and high attention to detail; • Excellent typing and data entry skills, and experience with databases and data tracking • Strong interpersonal skills, a flexible team player, and ability to show initiative and work independently.

Credentials: NYS Driver License

Experience: one to three years of experience in office management and database and/or excel management preferred. Experience working with refugees and immigrants is a plus.
