In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, theAccounting Clerkprovides accounting support to the Finance, Purchasing and Grants areas.
Essential Functions
Finance and Purchasing
Assists with placing orders for medical and program supplies for all sites.
Assists with processing Purchase Orders and AP Invoices by confirming they are in compliance with the Agency’s Purchasing Policy. Confirms expenses have been properly coded and charged to grants, when appropriate, using the Agency’s Chart of Accounts.
Assists with the month-end inventory for all Health Centers.
Receives mailed checks and cash, prepares them for deposit to the operating checking account, and provides supporting documentation to appropriate departments.
Completes tasks in the Microix purchasing system as assigned by the Purchasing Manager
Prepares monthly journal entry for expired and transferred medications
Grants
Provides grants clerical assistance as directed by the Grants Financial Manager GFM
Assists with grants audits as directed by the GFM
Support the GFM and Grants Accountant GA in the preparation of grant fiscal reports (claims for payment, vouchers), as assigned
Assists in month end process in preparing grants journal entries and reconciliations
Participates in regularly scheduled Grants and Finance related meetings
Identifies, recommends and implements improvements in current processes

Other Accountability Activities
Acts as backup for the Purchasing Manager as needed
Provides assistance to other members of the Finance Team, as needed, and performs other duties as assigned

Requirements
Applicants must possess the following qualifications(or equivalent combination of education and experience):
Education—
- Associate’s degree in Accounting or Finance or a related field preferred, or equivalent combination of education and experience
Experience—
Minimum of two years of accounting experience is required
Non-profit accounting experience is preferred
Experience in a non-profit organization, grants, and/or healthcare industry is desirable
Knowledge, Skills, & Abilities
Proficiency with Microsoft Excel, Word, PowerPoint and accounting software is required;
Experience with grant fiscal reporting preferred
Experience in report writing software a plus
Ability to work with confidential information a must
Excellent verbal and written communication skills and critical thinking
Should be highly adaptable, detail oriented with a high level of accuracy, and able to work autonomously while following standardized practices and procedures
Ability to communicate financial concepts to non-financial staff in a clear and concise manner
Demonstrated ability to collect data, establish facts, and draw valid conclusions
Ability to prioritize and multi-task in a fast-paced environment
Must be able to work a flexible schedule with ability to travel to multiple sites when needed
Must have reliable transportation and/or a valid driver’s license not in jeopardy of being revoked

Possess sufficient mobility to perform the Essential Functions listed in this Job Description with or without an accommodation
Ability to travel to all agency locations as assigned
Work Schedule This is a full-time, 40 hour a week, position; regular schedule will be Monday – Friday with occasional evenings and weekends.
Benefits & CompensationAt PPCWNY, we are committed to equitable compensation practices and transparency. In alignment with these efforts, the pay for this position ranges from $19.40 to $22.46/hour. Actual compensation will be determined by experience and other factors permitted by law.
