Responsibilities

Responsibilities:

  • Proposal Development and Budget Management:

  • Coordinate budget development reviews.

  • Provide standardized expense information, including salaries, benefits, andothers.

  • Review match calculations for accuracy.

  • Request Fair Market Value (FMV) for internal lease space cost allocations.

  • Ensure formulas and proposed expenses align with the Request for Proposal(RFP) and allowable costs.

  • Proposal Tracking and Reporting:

  • Maintain a comprehensive log of submitted proposals.

  • Update proposal status upon notification (awarded, rejected, etc.).

  • Assist with running metrics to track proposal success rates.

  • Manage "pre-award" projects, supporting the transition to award and post awardphases and notifying relevant personnel.

  • Confirm cost coverage for awarded projects in case agreements fall through.

  • Award Intake

  • Monitor dedicated email for new award notifications.

  • Analyze funding source, audit requirements, CFDA number, awarding agency, andaward type (R&D, etc.).

  • Ensure award setup reflects terms and conditions, anticipated spending, andtravel & entertainment needs.

  • Confirm cost-share components and obtain missing information fromdepartments.

  • Verify banking information and awarded budget accuracy.

  • Double-check F&A rate appropriateness (de minimis or negotiated).

  • Track "pre-award" awards and transition them to "active" upon full agreementexecution.

  • Communicate award status updates to relevant personnel for invoicing.

  • Facilitate a smooth transition from pre-award to post-award for funded projects.

  • Monitor expiring grants and contracts for timely renewals/amendments or pre-award account setup.

  • Systems Access and Renewals:

  • Obtain user needs and request access in grant management systems (eRA,Justgrants.gov, Grants.gov, etc.).

  • Assign Grant Manager roles within the system.

Requirements

Education:

  • High School diploma equivalency with 2 years of cumulative experience OR Associate's degree/Bachelor's degree OR 4 years of applicable cumulative job specific experience required.

Additional Preferences

  • Bachelor degree in accounting or finance.

  • 1-2 years of experience in grant administration.
