DEPARTMENT: COMMUNITY RELATIONS AND DEVELOPMENT

TITLE: DONOR APPLICATIONS SPECIALIST

STATUS: NON-EXEMPT - Full Time

PAY RANGE: $20 - $22 per hour

SCOPE OF POSITION:

The Donor Applications Specialist, under the direction of the Territorial Donor Applications Manager, provides donor applications support to end users, enters data into the CRM including appeal and campaign records and gift processing as needed, assists with the pre-processing of gifts prior to disbursement for data entry, and provides general department support as needed.

EDUCATION AND WORK EXPERIENCE:

  • Minimum five years office experience.

  • Two years’ experience in the effective use with a donor software system.

  • Experience providing data audits and accounts issues support.

  • Experience in Donor Data Management.

  • Experience doing data entry into a CRM or ERP system.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Working knowledge of diverse software applications and ability to use new software programs and databases with basic training.

  • Ability to work in a fast-paced environment and maintain poise under pressure.

  • Ability to manage multiple projects to completion on a timely basis.

SOFTWARE-RELATED SKILLS:

  • Experience with PCs and networking, database management, modems, data transfer, system backup etc.

  • Familiar with Microsoft Windows network navigation desirable

  • Proficiency in MS Office applications, including Word, Excel (macros, formulas, and formatting), PowerPoint, Outlook, Teams, Google Docs/Sheets.

RESPONSIBILITIES:

  • Collaboration

  • Communicate daily with Territorial Donor Application Manger regarding messages, and information; sharing and receiving instruction and guidance on work to be completed.

  • Provide the Donor Data Management section with administrative and clerical support, including but not limited to expenses, mail, scheduling meetings, taking / transcribing minutes and managing written and electronic correspondence.

  • Assist the Territorial Donor Applications Manager with update to departmental policies and procedures, business rules documentation, and training materials.

  • Cross trains on other department functions and provides coverage for colleagues as needed.

  • Database Support –

  • Support development application users (including but not limited to Portfolio, R360, PayPoint, Classy, 24/7, BBCRM, Sisense, PowerBI). Create new users, assist with locked accounts, troubleshoot for various user issues, and escalate if necessary.

  • Coding

  • Creating Package and Fund codes and maintain the code tables and the integration system between the donor management and finance systems.

  • Update Service Center information (Officer changes, address/phone updates).

  • Create acquisition list. Work with vendors to update list, assign codes and convey information back to vendors and to the divisions.

  • Pre-process Gifts–

  • Gifts received from outside the territory that contain donor/donation information, but no cash (disasters outside of our territory).

  • Manage and distribute Miscellaneous bank wires to the Donor Data Operations Center. (Matching gift and Donor advised fund sites)

  • Processing to include, verification of gift match by searching Portfolio for original donation, forwarding hard copy matching gift checks to THQ Finance for processing through Deluxe Lockbox. Follow through with divisions / matching gift companies to troubleshoot issues surrounding matching gifts, donor records, etc. Maintain accurate electronic and hard copy files for each matching gift company / donor.

  • Preforms and other direct entry operation into the CRM as assigned including but not limited to donor record updates and gift processing execution including batch gift entry and manual gift entry.

  • Help Center–

  • Triage and follow up on new and aging Zendesk (Help Center) tickets within prevue of the Donor Management team’s responsibility. Assign and follow up with the appropriate person.

  • Manage ticket submissions from the “Large Gift” and “Package/Fund code” forms.

  • Meet or exceed productivity requirements

  • All other duties as assigned by the Territorial Executive Director of Development, Territorial Donor Data Management Director, and Territorial Donor Application Manager

PHYSICAL REQUIREMENTS:

Qualified individuals must be able to perform the essential duties of the position with or without accommodation. This position is primarily sedentary and requires the ability to remain at a keyboard for periods of up to two hours with minimal interruption. Ability to operate a keyboard is essential. Ability to operate under stressful working conditions in a rapidly changing work environment with multiple priorities is required. The employee must occasionally lift up to 50 pounds.
