Job Description

Support in contract administration:

  • Finalizing inbound services agreements and related scopes of work with new suppliers

  • for SN review, coordinate with vendors, and contractor such as routing contracts through e-signature processes and uploading them to internal databases;

  • Ensuring existing and new suppliers, vendors, and contractors are appropriately enrolled and registered in systems such as SAP Ariba/Embark, in coordination with Beacon

  • Support in securing approvals, electronic or other signature authorization, and related

  • record keeping;

  • Support in opening support tickets (GUTs or other tickets) to process payment issues,

  • supplier issues, or related vendor payment issues;

  • Development of an internal contract spreadsheet and information;

Manage portfolio goals, including but not limited to:

  • Schedule, coordinate and attend project meetings, as determined appropriate by SN.

  • Take detailed meeting minutes and follow up on key action items/issues as needed.

  • Develop first draft deliverables for PfM review

  • Orchestrate timely communications among project team members, which can include identifying,

  • creating, and updating project resources/tools (e.g., QuickBase, Project Tracker inputs and updates, site workbooks, change control log(s), risk register(s), etc.) used by team members so that appropriate actions are taken;

  • Populate draft SOWs, draft funding requests and facilitate PO creation, coordination

  • with vendors, processes contracts, including submission of low value internal approvals;

    Records Management and Retention:

  • Administer project documentation and document control systems, which includes processes

  • for the receipt, review, approval, issue, reproduction, distribution, version control, classification, stora

Qualifications

4-5 years of relevant experience
