University of Maine System Executive Receptionist and Administrative Assistant - President's Office in Portland, Maine

You’ll play a vital role in ensuring the smooth operation of the President’s Office, serving as a first point of contact for faculty, staff, students, and external stakeholders.
What You’ll Do:
Greet and welcome visitors with a positive and professional attitude.
Answer phones with professionalism and efficiency, screen calls, take messages, and transfer calls effectively as appropriate.
Represent the Office of the President in a professional, collaborative, problem-solving and knowledgeable manner
Maintain office security by following safety procedures and controlling access via the reception desk.
Provide multiple levels of support to our CBO and our VP of Enrollment Management and Marketing including data reporting; meeting scheduling and planning; material creation and more.

Located on our Portland campus, this full-time position will pay $22.08/hour (non-negotiable) for a new hire or the appropriate transfer rate for a current employee with the University of Maine System. This is a confidential, non-rep hourly position.

Required Qualifications:
High school diploma or equivalent (G.E.D.) and sufficient work experience.
Minimum of two years administrative or project support or comparable experience.
Computer proficiency - intermediate to advanced (ex. MS Office, HRIS, G-Suite, web) skills in office technology, software programs, and presentation development.
Exceptional communication and interpersonal skills.
Exceptional organizational and time management skills.
Ability to manage multiple tasks, can prioritize and maintain high quality work product with a keen attention to detail.
Exceptional interpersonal skills and the ability to interact effectively with a wide range of individuals and constituencies in a diverse community.
Confidence in handling conflict and addressing the needs of visitors while upholding company policy.
