Job Description:The Medical Office Coordinator position is a permanent full-time position that is very high-demanding in a fast paced environment. The provides assistance by providing efficient and responsive administrative, organizational, and logistical assistance to help accomplish day to day duties. Receive and direct clients, visitors and staff that enter the building. Applicant must be able to:

  • Maintain daily duties assigned, as well as any additional tasks such as: answering phones, sending/receiving faxes, type documents/reports, monitor and maintain supplies, etc. (This list is not inclusive of all duties.)
  • Maintain administrative, clinical, and client schedules.
  • Maintain office flow to ensure productivity is consistent with the needs of the organization and providing quality work with minimal errors.
  • Oversee medical billing by ensuring schedules and scheduling codes are accurate and ensuring all insurance guidelines have been met.
  • Manage all current authorizations and as well manage incoming authorizations.
  • Obtain new insurance authorizations for current clients, as well as incoming referrals.
  • Verify insurance coverage for current clients, as well as incoming referrals.
  • Manage accounts receivables and ensure all copayments, deductibles, and coinsurances are collected timely and efficiently.
  • Maintain knowledge of all applicable insurance guidelines and regulations, as well as all billing guidelines and regulations.
  • Set up and process payroll by ensuring all employees are paid accurately.
  • Maintain employee and client records ensuring HIPAA compliance and employee privacy.
  • Onboard new clients.
  • Recruit employees.
  • Manage employees.

Required Minimum Skills:The position requires a positive attitude, and good communication skills, as well as the ability to handle stress and time management in a busy atmosphere. Exceptional customer service skills are required. The applicant must have the ability to be flexible and have the capability to prioritize tasks accordingly. The applicant must have the ability to handle sensitive information in a confidential nature and follow all guidelines according to the Health Information Portability and Accountability Act (HIPAA). The applicant must be able to work with minimal direct supervision. The applicant must display the application of principles and practices of basic office organization. The ideal candidate must accept direction, respond positively to feedback, and carry out directives in an organized and timely manner. The candidate must also have strong Microsoft Office skills and other computer application skills, professionalism, problem solving, excellent verbal and written communication, as well as have the ability to grasp concepts quickly. The candidate must also have the ability to work long and flexible hours. Must successfully pass background check, as well as drug screening. Required Education and Experience: Bachelors Degree preferred. A minimum of at least 2 years experienc in scheduling, referrals, medical billing, payroll and administration. Medical billing certificate preferred. Experience utilizing Quick Books is preferred. Candidate must be able to work a flexible schedule; Saturdays may be required on special occasions. Ability to complete medical billing for insurance claims to clients insurance companies and following up on Accounts Receivable. Answer medical billing inquiries and assisting insurance companies and clients on accounts as necessary. Knowledge and experience with third party medical insurance reimbursement requirements. Ability to complete incoming referrals and authorization management for existing clients. Ability to process set up payroll and process utilizing Quick Books is preferred.

Job Type: Full-time

Pay: $16.00 - $19.00 per hour

Expected hours: 35 - 40 per week
