SME Technical Services Administrative Professional in Plymouth, Michigan
The Opportunity:
In this role, you will serve as a Technical Services Administrative Professional and will work alongside our Materials Group. You will support several team members across this group in the Plymouth, Michigan office and work daily with Administrative Team Members in our Regional Offices.
Responsibilities:
- Proofreading, formatting, and processing documents, with the responsibility of ensuring they follow our company standards; Running reports and following up with outstanding items. (Multiple internal programs will be used); Sending feedback requests to clients; Tracking and following up on project requirements. (proposals signed client agreements, safety forms, reports, and change orders).
- Equipment and Vehicle tracking such as maintenance and recalls; Answering phones and greeting guests; Coordinate and attend meetings and participate on internal committees to capture key tasks, document assignments, track deliverables, and follow up with Project Managers to help with their deliverables; Update team member resumes; Help prepare deliverables for presentations (PowerPoint or other supporting programs for visuals.); Communication with team members will be in several different forms, including phone, email, Microsoft Teams video calls, and in person.
- Track Business Expenses; Reconciling Credit Cards; Assisting Project Managers with accounts payable and receivables.
- Coordinating meetings, primarily for internal team members; Arranging travel for field and office team members; Setting up meetings, primarily internally with room arrangement, IT needs, and meals; Facilitating onboarding of new team members and working with HR.
Technical Skills:
The ideal candidate would exhibit the following:
- Experience in an administrative office role.
- Excellent Proofreading skills related to word usage, flow, and punctuation.
- Excited to learn new programs/processes/technology and grow professionally.
- Comfortable communicating via phone, text, email, and Microsoft Teams video calls.
- Competency using computer operating systems and current MS Office Suite programs (Word, Excel, Outlook, Teams, and PowerPoint)
- Experience in Bluebeam preferred.
- Ability to understand and adapt to change and react productively to frequent interruptions and changing conditions. Also, able to independently focus and work on deliverables requiring 1-2 hours of dedication.
- Ability to work independently and as a part of a team
- Ability to reprioritize throughout the day as urgent needs arise
- Comfortable meeting tight deadlines and adapting to changing project needs with little to no notice
- Willing to work occasional overtime, weekends, and travel overnight (rare) to meet the needs of our clients
- Ability to work at a desk for long periods of time.
Requirements:
Has competency using computer operating systems and MS Office Suite programs (Word, Excel, Outlook and PowerPoint).
Excellent verbal and written communications skills to effectively interact with clients, team members, and supervisors, conveying technical information clearly.
Strong organizational skills, ability to prioritize, manage workloads, maintain accurate and detailed record-keeping skills, documenting field observations, safety concerns, and problem resolutions.
Effective interpersonal skills to build rapport with clients and team members, fostering positive working relationships, customer-centric approach to provide excellent service to clients, ensuring their needs and concerns are addressed promptly and professionally.
