Front Desk Specialist

Non-Exempt                    $19.00 p/hr (Mon-Fri)

Position Overview

The Front Desk Specialist duties and responsibilities include greeting visitors, helping them navigate through the office, and supplying them with refreshments as they wait. In addition, they maintain calendars for appointments, sort mail, make copies, accept deliveries, and answer inquiries.   • Work alongside the Intake team to provide customer service, resource provision, and assistance with administrative tasks

  • Abide by our Mission Statement and Core Values

  • Use your office computer to punch in and out with and keeping your hours below 40 hrs. per week

  • Perform administrative duties by greeting employees and visitors with professionalism

  • Provide resource information or materials to routine inquiries, answering the telephone, taking messages or routing calls according to office procedures

  • Make sure that the conference rooms are neat and clean, tables wiped off with sanitizer, and notify custodian when needs vacuumed

  • Communicate information to your supervisor or Intake team when needed

  • Data entry and other administrative duties when required

  • Familiarity with applications associated with Microsoft Office, MS Word, Excel, and willingness to learn new technology when needed

  • Exercise discretion in the performance of assigned duties by being knowledgeable of the organization and/or departmental policies regarding confidential materials

  • Must be able to help people who are experiencing homelessness, addiction, and mental illness issues

  • Exhibit the following skills: communication, multitasking, organization, technical, resistance to stress, problem solving, and empathy.

  • Will help the Fiscal Department each Friday to separate and mail checks

  • Keep interoffice phone list current

    Knowledge Skills and Abilities

    Through a combination of experience and education, the Front Desk Specialist will have:

     

  • Act 34 Criminal, Act 33 Child Abuse, and FBI Criminal clearances.

  • Excellent communication and interpersonal skills to create a pleasant experience for all visitors, such as being personable and attentive

  • Cultural competence, being able to work effectively with all backgrounds.

  • Experience and ability to de-escalate mental and behavioral health crisis situations

  • Strong organizational, phone and computer skills.

  • A working knowledge of the social service system through life or job-related experience.

  • A willingness to work both independently and collaboratively.

  • Strong ability to navigate the Internet to familiarize and access various resources.

  • Ability to work and travel independently.

    A high school diploma or equivalent, along with a combination of work, education and life experiences as approved by the agency and funder.

    Position Physical Demands:

    The front desk specialist will be called upon to engage in physical activity related to general office work, including the capacity to lift to 15lbs and stand or sit for extended periods. Also, the ability to walk up and down steps and physical activity related to cooking, cleaning, and general household maintenance.
