$18.00 an Hour

  • JOB DEFINITION

    Allegheny County Early Learning Resource Center (ELRC) Front Desk is responsible for answering phones, greeting families and child care providers, handling incoming and outgoing mail and uploading and maintaining records in an electronic filing system.  This position is responsible for operating a multi-line phone system to facilitate communication to all ELRC departments.  This position will be supervised by the Clerical Supervisor.  This individual must bring a positive attitude to their work and naturally respond to challenges with ‘can-do’ and problem-solving sensibility.  This person must strive to provide excellent customer service in all job tasks.

  • RESPONSIBILITIES AND DUTIES

    1. Answer and direct phone calls, emails, and faxes coming into the ELRC.

    2.  Great and direct visitors of the ELRC in a positive and professional manner.

    3.  Prep, scan, and upload documents into On-Base. Perform a quality check of uploaded documents.

    1.  Utilize Excel to organize data to provide reports on phone calls and visitors to the office.

    2. Coordinate timely flow of incoming and outgoing mail.

    3. Utilize web-based databases, Pelican, SharePoint and On-Base to store, review and update family and provider information.

    4. Maintain family and provider files with a high level of confidentiality.

    8. Serve as back-up to other clerical team members.

    1. Attend and participate in clerical team meetings.

    2.  Operate and maintain office machinery, including copiers, fax machines, postage machine and printers.

       11.  Complete other duties as assigned.

  • QUALIFICATIONS

    • PROFESSIONAL KNOWLEDGE AND ABILITIES
    1. Skill in using a personal computer with typing at a minimum speed of 50 words per minute.

    2. Communicates effectively in verbal and written communications.

    3.  Excellent customer service skills.

    1. Excellent organization, scheduling, and time management skills.

    2. Excellent attention to detail.

    3. Must be self-directed and able to work independently to achieve program objectives.

    4. Previous experience working in Pelican, On-Base, Adobe and SharePoint.

    8.  Perform related work as required.

    • Pennsylvania Child Abuse History Clearance (Act 33)
    • Pennsylvania State Police Request for Criminal Records Check (Act 34)
    • FBI Criminal Background Check (Act 73)
    • Full time position requiring 38.75 hours per week in Wood Street office.  
    • EDUCATION AND EXPERIENCE
  • High school diploma or equivalency required and two years of experience in a position providing customer service.  Associates in business or public administration preferred.
