Administrative Assistant

The Emphysema Research Program - https://www.copd.pitt.edu/ in the Division of Pulmonary, Allergy, Critical Care, and Sleep Medicine - https://dom.pitt.edu/paccm/ is looking for an administrative assistant to provide high level administrative support to the Center. A qualified candidate should have strong communication skills and a minimum of 1 year experience in a related field.

The division is led by division chief Alison Morris, MD and Executive Administrator Emily Joseph. The division is made of up approximately 70 clinical staff and over 100 research staff who work in a variety of locations including: Bridgeside Point, Biomedical Science Tower (BST), UPMC Hospitals including Presbyterian, Shadyside, East, Jameson and Mercy. The division provides world class services across 10 inpatient services at five hospitals and over 70,000 outpatient office visits. We have a major research mission that focuses on basic, clinical, and translational research on the lung, microbiome, COVID-19, sleep medicine, and allergy and immunology.

Job Summary

Performs administrative and general office support work.

Essential Functions

Carry out general office duties, such as answering incoming phone calls, greeting visitors, coordinating schedules for meetings, and distributing mail.

Assist with scheduling conferences, and conference set up and break down.

Make travel arrangements (air, hotel, ground, and conference registrations) for doctors, staff, and incoming recruits, and prepare disbursements in Concur.

Assist with manuscript preparation, managing reference libraries, biosketch requests credentialing, licensure, certifications, UPP privileges, CME, CV updates, grant preparation and grant submission.

Process purchase orders and invoices in Panther Express for consulting companies.

Physical Effort

Must be able to stand/sit for up to 8 hours.
