Robert Half Administrative Coordinator in Pine Brook, New Jersey

Description We are offering an opportunity for an Administrative Coordinator in the Healthcare, Hospitals, and Social Assistance industry, located in Pine Brook, New Jersey. This role mainly focuses on managing, coordinating, and supervising the programs for acquisition, assignment, utilization, maintenance, repair, replacement, and disposal of our fleet vehicles. The position also includes acting as the primary point of contact concerning the fleet and operations.

Responsibilities:

• Oversee the maintenance of the fleet across different locations

• Implement fleet policies and procedures, ranging from vehicle assignment to replacement cycling, and from personal use to accident follow-ups

• Collaborate with leasing companies on price, spec, and purchase or lease vehicles

• Manage and coordinate the acquisition, utilization, maintenance, and disposal of fleet vehicles

• Act as the primary contact for inquiries concerning the vehicle fleet and operations

• Maintain accurate records and data related to the fleet and its operations

• Use management systems and Microsoft Office Suites to efficiently manage and monitor fleet operations

• Provide excellent customer service in resolving inquiries and issues related to the fleet

• Perform data entry tasks and manage correspondence related to the fleet operations

• Report to and work closely with the C-Suite in relation to fleet management and operations Requirements • Possession of a Bachelor's degree in Healthcare Management, Business Administration or a related field.

• Minimum of 1 year of experience in an administrative coordinator role, preferably in the healthcare, hospitals or social assistance industry.

• Proficient in using Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word.

• Familiarity with Management System and About Time software.

• Proven ability to handle correspondence professionally and confidentially.

• Experience in working with C-Suite executives is a plus.

• Outstanding customer service skills.

• Ability to perform data entry tasks with high level of accuracy and speed.

• Familiarity with MS Office tools and their applications in an administrative setting.

• Excellent verbal and written communication skills.

• Exceptional organizational skills and the ability to manage multiple tasks simultaneously.

• Ability to work effectively as part of a team as well as independently.

• Must have a problem-solving attitude and the ability to make decisions under pressure.

• Strong attention to detail and ability to maintain confidentiality at all times.

• Must have a professional and approachable demeanor.

• Willingness to learn and adapt to new technologies and processes.
