Learn more about the "T" salary structure. The Department Coordinator supports the day-to-day administrative and operational activities for the Office of Research Administration (ORA). ORA supports the sponsored projects of the college by partnering with our faculty to provide high-quality, pre- and post-award support to CPH investigators as they seek to secure and manage funding to support their research. Primary responsibilities will be to process purchase requisitions, consultant and vendor agreements, payroll allocations, vendor invoices and processing hourly student worker hiring; additional duties include maintaining tracking logs, running requested reports and completing forms and documents to ensure external awards are processed in a timely fashion.  The Department Coordinator will interact with other central offices and Colleges within the University as needed to ensure successful and timely approval and completion of all submitted requests. In addition, the department coordinator will provide support to Principal Investigators and ORA staff in resolving various routine problems and answering questions under minimal supervision within established policies and procedures. Essential functions: GENERAL: Support Shared research spaces as needed; Support Director of Research Administration with internal faculty awards and other tasks. AWARD SET-UP: Complete and process forms to request advanced grant account set-up; Complete and process forms requesting outgoing subcontracts to be initiated; Run reports and maintain logs to ensure all new awards are processed and accounts are set-up in a timely fashion. POST-AWARD: Process monthly electronic personnel actions forms (EPAFs). This includes meeting payroll deadlines and getting clarification from grant administration; Process invoices for multiple departments. Work closely with academic Department Coordinators, Principal Investigators, Purchasing, and vendors; Process contracts for vendors and consultants for multiple departments and Principal Investigators. This requires diligent tracking and coordinating processes. Work closely with Grant Administrators to collect contract materials for processing; Process hiring for student worker hires. Coordinate with Grant Administrators, Principal Investigator, Office of the Vice President of Research (OVPR), academic Department Coordinators, student workers, Graduate Affairs, and/or Associate Dean of Research; Attend weekly meetings with Human Resources. Collect agenda items and send meetings notes to the team after; Process purchasing orders (POs) for outgoing subawards; Run regular reports from eRA to track status of pending awards and FOAPS Performs other duties as assigned. Required Education & Experience: Bachelor's degree and at least two years of directly related administrative support experience. An equivalent combination of education and experience may also be considered. Required Skills & Abilities: *Strong customer service orientation. *Demonstrated ability to prioritize work well and focus on completion of tasks. *Demonstrated ability to independently anticipate and identify problems, obstacles and opportunities and take decisive action to address them. *Strong w itten and oral communication skills along with the ability to interact with a diverse group of students, faculty and staff. * Strong attention to detail. *Demonstrated ability to operate all standard office equipment and software including MS Office. *Demonstrated ability to understand and apply University and College policies and procedures. This position requires a background check. This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
