Job Summary Provide administrative, clerical, and secretarial support to the Department of Performing Arts. The Administrative Coordinator is the first contact for the full-time and part-time faculty of the department and the students enrolled in performing arts classes every term. The position requires an engaging, detail-oriented individual who can stay poised in a busy office. The ideal candidate will also have secondary skills in social media marketing, copy review, visual storytelling, database management, communications, event planning, website maintenance, or some other area applicable to the mission of the department. Some weekend hours are required for this job. This position is 100% in-person. This position will start no earlier than August 1. Essential Functions Manage student scholarship auditions, scholarship communications, and associated databases. Hire and supervise department work study personnel. Meet and greet students, faculty, and visitors; answering telephones and provide department information or forwarding to the appropriate faculty member. Update the Department's Marketing, social media, website and event listings as needed. Coordinate maintenance of department facilities. Set up and coordinate meetings, room scheduling and practice room electronic access, conferences, and employment search committee scheduling and private lesson teachers Collaborate with Ensemble Directors to create the season brochure and with faculty to complete new curriculum and course forms for approval. Work closely with the Department Administrator to meet various deadlines each term for exam scheduling, section balancing, course changes and additions. Schedule the distribution of course evaluations, and sort/export the results to be accessed by Program Directors. Set-up and coordinate meetings, room scheduling and practice room electronic access, conferences, and employment search committee scheduling and private lesson teachers. Work with Enrollment Management and Financial Aid to coordinate Performing Arts Scholarship communication. Other duties as assigned. Required Qualifications Minimum of a Bachelor's degree and 3 years of experience or equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.) Strong interpersonal, communication, and organizational skills. Experience with Microsoft Office (MS Word, Excel, and Outlook) and web-based systems. Effective problem solving and decision-making skills. Ability to follow through on tasks and projects with self-direction. Capacity to multi-task at all times. Preferred Qualifications Strong interest and/or experience in any area of Performing Arts Experience with social media marketing and web-management systems. Ability to represent the Department at occasional events on evenings and weekends. Location University City, Philadelphia PA Additional Information This position is classified as Non-exempt, grade G. Compensation for this grade ranges from $15.58 - $23.37 per hour. Please note that the offered rate for this position typically aligns with the minimum to midrange of this grade, but it can vary based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
