Administrative Finance Assistant Reports to Accounts Payable and Receivable Specialist (or Office Manager in their absence) Position Summary: We are seeking a detail-oriented and dependable Administrative Accounts Assistant to support our Accounts Payable and Receivable Specialist. This part-time role is ideal for someone with a background in accounts receivable and collections, who thrives in a fast-paced environment, can adapt to changing priorities, and brings a proactive, can-do attitude to their work. Primary Responsibilities: * Manage and follow up on outstanding invoices and customer credits via email, phone, or written correspondence. * Maintain the Accounts Receivable inbox, including responding to customer inquiries and processing credit card payments. * Provide copies of invoices, account statements, and resolve account-related questions from customers. * Mail out invoices and statements as needed. * Serve as the primary point of contact for customers calling to make payments or inquire about their accounts. * Process check payments and enter them into Sage 100. * Support the Shipping Project by helping assess and review shipping costs. * Assist with data entry of FDA Cards, depending on workload. Qualifications: * Prior experience in accounts receivable and collections is required. * Familiarity with Sage 100 (or similar ERP systems) is a plus * Strong written and verbal communication skills * Ability to manage multiple tasks and adapt to last-minute changes * High attention to detail and organizational skills * Positive attitude and team player Schedule: Monday-Friday Hours: 25 hours per week (12:00 PM - 5:00 PM) Hourly Pay: \$21/hr. Duration: As soon as possible through the end of September 2025
