Granville Health System Executive Assistant to the Chief Executive Officer in Oxford, North Carolina

Position Summary The Executive Assistant to the Hospital CEO plays a crucial role in providing administrative and organizational support to the Chief Executive Officer (CEO) of the hospital. This role requires exceptional organizational skills, a high degree of discretion, and the ability to handle sensitive information and situations. The Executive Assistant is responsible for managing the CEO#s schedule, coordinating meetings, and assisting with various administrative tasks to ensure the CEO#s effectiveness and efficiency in managing the hospital. Duties include a variety of administrative functions to include, but not limited to: Calendar Management: Maintain and manage the CEO#s daily and long-term calendar, scheduling appointments, meetings, and events. Prioritize and coordinate the CEO#s commitments to ensure optimal use of time. Meeting Coordination: Arrange, prepare for, and coordinate meetings, both internal and external, including setting agendas, distributing materials, and taking minutes when necessary. Ensure that meeting participants have all the necessary information and resources. Communication: Act as a primary point of contact for the CEO, screening and prioritizing , calls, and other correspondence. Draft and edit documents, presentations, and reports on behalf of the CEO. Travel Arrangements: Plan and book travel arrangements, including flights, accommodations, and ground transportation, for the CEO and other executives as needed. Information Management: Maintain and organize sensitive and confidential information, documents, and records. Prepare and update briefing materials and reports for the CEO. Office Management: Ensure the CEO#s office is organized and well-maintained, including ordering office supplies and equipment as needed. Assist in managing the CEO#s expenses and reimbursements. Special Projects: Support the CEO in special projects, strategic initiatives, and research as required. Collaborate with other executives and departments on cross-functional initiatives. Liaison: Act as a liaison between the CEO and other hospital staff, board members, and external stakeholders. Maintain positive relationships with key contacts on behalf of the CEO # Qualifications Associate#s degree in business administration or related field from a recognized college or university. Bachelor#s degree in business administration or related field preferred. Equivalent experience may be considered in lieu of education. At least 2 years of administrative office experience. Previous experience as an Executive Assistant preferred. Strong organizational skills with the ability to multitask and prioritize effectively Excellent written and verbal communication skills Proficiency in using office software such as Microsoft office suite and calendar management tools Discretion and the ability to handle confidential information with the utmost professionalism Strong interpersonal skills and the ability to work effectively with diverse teams and stakeholders Flexibility and adaptability in a fast-paced, dynamic environment Strong customer service skills #
