Robert Half Administrative Assistant in Orange, California

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Orange, California. The chosen candidate will be working within the Critical Infrastructure Department, managing high volumes of work in a fast-paced environment. The role involves dispatching personnel across counties and using various software tools for task scheduling and service call creation.

Responsibilities:

• Ensuring the efficient execution of company procedures and systems to maximize operational efficiency and control.

• Clarifying customer complaints, determining the root cause, and providing timely resolutions.

• Maintaining high standards of customer service at all times.

• Identifying and capitalizing on up-selling opportunities to promote services and products.

• Building rapport with existing customers to ensure customer satisfaction.

• Providing timely follow-ups as and when required.

• Dispatching calls accurately, including but not limited to emergency service calls, inspections, installations, and customer service complaints.

• Producing accurate monthly reports and metrics.

• Verifying, correcting, deleting, or adding data into the dispatch system before finalizing the product.

• Displaying strong communication skills to provide clear instructions to Technicians and customers.

• Assisting other team members and performing other duties as needed. Requirements • Proven experience in an Administrative Assistance role or similar position

• Proficiency in Microsoft Office Products including Word, Excel, PowerPoint, and Outlook

• Excellent customer service skills with the ability to communicate effectively with clients and team members

• Prior experience in dispatching or coordinating tasks within a team

• Strong organizational skills with the ability to prioritize tasks and manage time efficiently

• Ability to handle confidential information with discretion

• High school diploma or equivalent level of education

• Excellent written and verbal communication skills

• Ability to work independently and as part of a team

• Attention to detail and problem-solving skills

• Ability to handle multiple tasks and work under pressure

• Flexibility to adapt to changing work demands and priorities.
