Robert Half Office Manager in Oklahoma City, Oklahoma

Description We are offering a contract to hire employment opportunity for a detail-oriented Office Manager in Oklahoma City, Oklahoma. This role is vital in overseeing the administrative operations and day-to-day activities within our team. The Office Manager will be expected to provide administrative support, manage office operations, assist with human resources functions, and handle financial management tasks, among other responsibilities.

Responsibilities:

• Provide administrative support to the team, including managing correspondence, scheduling meetings, coordinating travel arrangements, and handling inquiries from employees, clients, and vendors.

• Oversee the smooth and efficient operation of the office by managing office supplies, equipment, and facilities. This includes ordering supplies, maintaining office equipment, and coordinating repairs and maintenance as needed.

• Assist with human resources functions such as recruitment, onboarding, and offboarding of employees. This involves coordinating interviews, processing new hire paperwork, and maintaining employee records.

• Assist with financial management tasks such as processing invoices, managing petty cash, and reconciling expense reports.

• Maintain and organize office records, files, and documents in both physical and electronic formats. Ensure that records are stored securely and are easily accessible when needed.

• Facilitate communication within the office by disseminating information, distributing memos or announcements, and ensuring that communication channels are effective and efficient.

• Coordinate meetings, conferences, and events by scheduling rooms, arranging catering, preparing materials, and assisting with logistics.

• Develop and enforce office policies and procedures to ensure compliance with company guidelines and regulations. Communicate policies to staff and provide guidance on adherence.

• Ensure compliance with health and safety regulations by maintaining a safe and clean work environment.

• Provide supervision and leadership to administrative staff, if applicable. This may include delegating tasks, providing training and guidance, and conducting performance evaluations.

• Address any issues or concerns that arise in the office environment, whether related to operations, facilities, or personnel. Troubleshoot problems and find effective solutions to resolve them.

• Identify opportunities for process improvements and efficiency gains within the office. Implement changes as needed to streamline operations and improve productivity. Requirements • Prior experience as an Office Manager for at least 1 year is required

• Proficiency in Microsoft Office, particularly Excel Formulas and MS Office applications

• Previous administrative experience is essential

• Familiarity with Middle Office operations is desirable

• Experience in handling billing processes and systems is necessary

• Exceptional organizational and multitasking skills

• Strong communication and interpersonal skills

• Ability to work independently and as part of a team

• Proactive problem-solving abilities

• High level of discretion and confidentiality

• Attention to detail and accuracy in all tasks.
