This position is based in Northbrook, Illinois. Hybrid work from certain states may be permitted in accordance with Astellas’ Responsible Flexibility Guidelines. Candidates interested in hybrid work are encouraged to apply.
Purpose:
Executive Assistant supporting the Chief Manufacturing Officer.
Conduct a full range of administrative tasks, support, and executive duties.
Acting as a liaison between Top Management, (Senior) Stakeholders, employees, and external relations.
Essential Job Responsibilities:
Acting as the point of contact among Executives, (Senior) Stakeholders, employees, and external relations.
Managing CMfgO and other Executives’ calendars, set up meetings and planning events in close collaboration with other Executive Assistants.
Arrange business travels and expense reports.
Managing information flow in a timely and accurate manner.
Format information for internal and external communication – memos, emails, presentations, reports in collaboration with relevant functions.
Screen and direct phone calls and distribute correspondence.
Organize and maintain the office filing system.
In this position close collaboration with other Executive Assistants is required to ensure efficient management of Top Management their time. Understand their key priorities and manage their day-day schedule accordingly
Flexibility in working style, e.g. position would occasionally require working outside business hours and while hybrid working is permitted, frequent working onsite will be required.
Qualifications Required:
Bachelor’s degree.
Proficient in Japanese and English.
Reside in the United States.
Excellent written and verbal communication skills.
Organizational and time-management skills.
Collaborative mindset.
Sense to anticipate customer's need and take appropriate actions.
High sense of ethics and compliance culture.
Preferred:
Experience in working with senior stakeholders.
Broad knowledge of the Astellas wider organization.
Broad knowledge of other internal functional operations (Research, Development, Medical, Commercial, Technology & Manufacturing).
Salary Range: $89,300 -$119,000 (NOTE: Final salary could be more or less, based on experience)
