Indiana State Job Bank Administrative Supervisor in North Vernon, Indiana

Your Impact

The Administrative Supervisor is primarily responsible for monitoring the supplies budget and purchasing necessary building supplies for Operations. This role assists Corporate in processing accounts payables to vendors and expense reports to balance the books. This role also monitors financial statements to resolve discrepancies and reviews accounts for budget variances. In addition, this role supervises a high performing team responsible for tasks such as resolving stores claims, handling accounts payables and vendor buybacks.

What You Will Do

  • Drives compliance with daily safety requirements and builds/sustains a culture of safety among subordinates and peers
  • Assists associates with HR related issues including questions/concerns with attendance, pay, benefits, job changes, voluntary terminations, I-9 verification, unemployment claims, and workplace accommodations
  • Communicates clear expectations for associates and provides timely and constructive feedback
  • Monitors and manages associate performance, ensuring that associates are executing assigned tasks accurately and as scheduled
  • Mentors and builds relationships with associates, recording planned encounters when needed, and completing annual reviews
  • Holds associates in department accountable to expected behaviors and performance levels
  • Assists Corporate in processing accounts payable to supply vendors (input and match invoices)
  • Assists and processes expense reports with Corporate for employees with a corporate card
  • Reviews weekly updated income statement for any discrepancies
  • Reports monthly any budget variances over a defined threshold amount
  • Estimates weekly payroll for facility; reviews and reports on cube received, cube shipped and shipping dollar amount from previous week
  • Controls office/product supplies budget; prices supply vendors quarterly to guarantee best price
  • Submits requests to Corporate to expense associate labor when allocated to assist vendors while in the facility (for example, vendor reworking of product)
  • Communicates with stores regarding their claims from shipments sent by the RDC
  • Orders or authorizes direct report to order supplies for the facility after performing an inventory audit
  • Assists Planning Manager at year-end in the creation of the yearly budget for non-capital expenditures
  • Monitors PO (Purchase Order) closing time, discrepancies, outstanding packets, and/or logistical issues
  • Verifies that all PO receiving documents are filled out and signed properly
  • Verifies PO Split shipments
  • Verifies that daily PO reconciliation report is completed
  • Maintains filing of all receiving documents for all deliveries
  • Verifies and supports weekly PAR Billing and DASH 7 Reports being reviewed and researched for discrepancies
  • Ensures completion of weekly LTL Manifest
  • Resolves inbound discrepancies (for example PO Discrepancies, Paperwork Discrepancies from Carriers, Freight delivered that doesnt belong to facility) and all logistical issues
  • Handles Inter Company Billing (ICBs) from stores
  • Communicates and verifies Must Go and VPCD (Vendor Prepared Crossdock) POs to stores
  • Coordinates and oversees Vendor Rework Teams
  • Assists in planning facility celebrations
  • Communicates effectively with associates regarding business objectives or current issues
  • Provides associates with meaningful developmental opportunities and prepares them for upward promotion if interested
  • Discusses and resolves issues with and between associates
  • Participates in the hiring process by initiating job requisitions when appropriate and interviewing prospective candidates
  • Ensures associates receive proper training
  • This position manages/supervises people

Minimum Qualifications

  • Bachelor's Degree Supply Chain Management, Transportation, Industrial Engineering, Business, or related field OR 4 years of xperience in distribution center/warehouse operations or related area

  • Leadership experience with direct report responsibility
  • Experience mentoring and coaching others
  • Experience creating and/or managing budgets
  • Experience using troubleshooting processes to resolve problems
