Blue Industries Operations Administrative Assistant in NORTH BRUNSWICK, New Jersey

The Operations Assistant position is an entry-level position with the continued opportunity for immense growth. The Operations Assistant be working directly with and under the supervision of the Operations Manager as a direct support mechanism for day-to-day processes related to the management of specific projects and material scheduling of manufacturing and deliveries. The position requires an enthusiastic self-starter who is a team player with management, communicative and interpersonal skills. The company holds several different units, primary of which are the Architectural Glass Fabrication unit and the Building Materials & Construction unit. The Operations Assistant will:

  • Directly assist Senior Management with various production related tasks as required

  • Work under tight deadlines and help maintain all required client deadlines

  • Work with Production teams

  • Liaise with Engineering, Design and Manufacturing regarding cost, scheduling and order close-out documents for multiple projects daily

  • Maintain constant and effective communications with team members, internal/external customers and vendors

  • Assist Senior Managers in managing projects, suppliers, inspectors to meet production deadlines and client expectations

  • Prepare and maintain complete reports and records (processing)

  • Follow-up to outstanding contracts, change orders, RFP’s, submittal packages

  • Responsible for assisting the managing of project productivity, costs, quality and safety consistent with company policies and practices

  • Perform special projects and completes all other duties as assigned or requested for the general support of the organization

  • Perform administrative, reconciliation and customer service duties

  • Supervises the maintenance of essential records and files

Requirements:

  • Associates Degree or commensurate experience

  • 1-year assistant management experience/Admin work

  • Understand basics of project management, construction industry + manufacturing experience

  • Excellent problem solving and critical thinking skills

  • Excellent typing & computer skills (Excel, Word, Technical writing)

  • Excellent verbal and written communication skills

  • Excellent time management skills

  • Tenacious desire to learn + grow in a fast paced and growing company

  • Ability to quickly synthesize large sets of information and rapidly make decisions; think on your feet

  • Ability to work under pressure

  • Other ad-hoc duties assigned by management

  • Follow detail instructions and organized

  • Willingness to learn
