The Engineer (Facility) Coordinator provides assistance to Cushman & Wakefield - Mobile Facility Solutions and companywide clients, with a heavy focus on facility management needs and client relations. Additionally, providing support to our national mobile engineering team and contributes to successful business operations.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

**This role is supporting 8am-5pm PST**

  • Support the development and implementation of all Engineering specific and general internal controls, general policies & procedures for all Engineering activities.
  • Communicate with clients regarding work order statuses and inquiries.
  • Assist with resolution of issues and request for services from clients.
  • Communicate with Mobile Engineers timely and efficiently regarding client requests, emergencies, and any deliverables.
  • Support all Engineering specific A/P, A/R, Payroll and Administrative processes and functions.
  • Maintain and manage the accuracy of CMMS systems and various databases.
  • Provide on-boarding support and employee data collection of new Engineers including, but not limited to:
    • Manage ordering and delivery of necessary items or equipment prior to start date.
    • Fleet assignment and delivery scheduling
    • Uniform ordering
    • Introduction to Workday and Onboarding Tasks
    • Mobile device set-up and application download and training
    • Request set-up of expense accounts for material and travel expenses
    • Inform clients of new employee and areas of coverage
    • Ensure appropriate client specific credentials are obtained.
    • Collect executed documentation for policies and procedures.
  • Manage work request scheduling for Mobile Engineers to align with client needs and demand.
  • Track and monitor employee Environmental Health & Safety (EHS) issues
  • Work closely with the EHS manager to communicate any field related injuries or accidents.
  • Monitor employee compliance of all Engineering related activities (i.e., vehicle usage, fuel consumption, engineering productivity, cell phone usage, purchasing card usage, client billing processes, etc.)
  • Provide general troubleshooting assistance for mobile devices, applications, and database access.
  • Assist with client invoice preparation, inquiries, tracking and problem resolution.
  • Participate in auditing of labor and material charges to confirm accurate billing.
  • Assist in the supporting the Engineering infrastructure functions, monitoring and reporting of operational performance.

REQUIREMENTS

  • College degree in business administration, production management, finance, or applicable discipline is highly preferred.
  • A minimum of three (3) years of work experience in administrative, accounting or property management services
  • Must be able to work independently, multi-task and to prioritize work requests.
  • Highly computer literate, including Advanced skill level of Microsoft Excel, Outlook, Word, PowerPoint, database applications, and Intermediate skill level of iOS.
  • CMMS system experience from administrator, vendor, or client level
  • Prior experience working in the property management or commercial HVAC field service company's or financial services industries preferred.
  • Experience with data entry, reporting, filing, answering phones, scheduling and communication is necessary.
  • Must be proficient in communicating at all levels of both oral and written form and competent at preparing professional comprehensive emails, reports, documents, files, and other memorandums.
  • Demonstrated ability to exercise good judgment, excellent interpersonal skills, and use logical thinking independently.
  • Working knowledge of account payables, receivables, budgets, and expenditure control.

ADDITIONAL ELIGIBILITY QUALIFICATIONS

  • Working knowledge of lease terms, the reconciliation process for Common Area Maintenance, insurance, and real estate taxes
  • Proficient in understanding management agreements and contract language
  • Working knowledge of macro creation or computer application coding
  • Successful completion of courses that align with entry-level project management certification.

WORK ENVIRONMENT

This job operates in a professional remote and in-office environment. Remote locations are required to align with in-office standards. These can be in-home or at a temporary workspace that is free of distractions, excessive or consistence noise, and can provide a secluded area for confidential communication. In addition, adequate space for or access to additional resources such as multiple screens, printers, and/or scanners. This role routinely uses standard office equipment such as computers, phones, mobile devices, photocopiers, filing cabinets, and/or fax machines.

PHYSICAL REQUIRMENTS

  • Working in a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day.
  • While performing the duties of this job, the employee may be required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard, or other office equipment.
  • Clear vocalization and articulation when verbally communicating to ensure delivery is understandable.
  • Literacy and comprehension of ideas or direction presented orally and in writing.
  • Communicate information and ideas in writing and orally so others will understand.
  • Regularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate's experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $26.00 - $26.00
