Position: Scheduler

Supervisor: Director of Clinical Rehabilitation Services

Rate of Pay: $15.50

Responsibilities/Duties:

  • Answers incoming outside and internal telephone calls within three rings in a professional, timely and courteous manner, identifying self and job title to the caller:

  • assists caller with their request, and/or refers to appropriate staff to assure successful results and customer satisfaction;

  • records accurate telephone messages, and communicates to appropriate staff in a professional, courteous and timely manner;

  • directs patient concerns or complaints to the Director of Finance or the Administrator of Community Services.

  • Schedules all inpatient and outpatient (following initial evaluation) appointments for physical and occupational therapy, speech language pathology, and schedules

  • outpatient appointments for podiatry and other CORF or D&T Services as added, in accordance with the scheduling policy and procedure. Tracks Medicare patient visit limits and other insurance visit limits as appropriate.

  • Calls patients whom cancel appointments or no-show appointments, documenting their response and preparing and mail no-show letters if appropriate in accordance with the Patient Responsibilities for follow-up of Therapy/Audiology Treatment or Patient Responsibilities for follow-up of Diagnosis & Treatment policies.

  • Greets incoming patients and advises practitioners of the patient's arrival.

  • Sends "To Do's" to Admissions Representative for outpatients in need of transportation and interpreter services and for patients in need of additional services sends "To Do's" to the Outpatient Office Manager.

  • Tracks and keeps a list of all multiple disciplines, printing out a list monthly and distributing the list to all directors and Doctors on staff for weekly team conference. Scheduling all therapists involved with that patient to be discussed, in order to attend that weekly session.

  • Completes weekly documentation audit and quarterly audits in accordance with Outpatient Medical Records Management policy and procedure.

  • Cooperates with other members of the CORF/D&T Administration team to assure patient satisfaction in service delivery. Familiarizes self with responsibilities of other members of the team to be able to provide continuity of services in the absence of other members of the group.

  • Accesses and maintains confidentiality of protected health information for outpatients as follows:

  • when processing intake calls for all disciplines except dental

  • when scheduling outpatient appointments for all disciplines except dental

  • when handling outpatient charts for all disciplines except dental

  • when resolving outpatient questions and concerns in all disciplines

  • when scheduling inpatient appointments

  • as otherwise directed by the Director of Clinical Rehabilitation Services or Director of Finance.

  • Performs duties according to the highest ethical and moral standards, and in adherence with the facility's corporate compliance plan and all applicable governing laws. Adheres to the facility's confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees, as necessary to perform job duties.

  • Performs any other duties as requested by supervisor.

    Job Requirements:

Qualifications:

  • Associates Degree in Secretarial Science or related field preferred; High School Diploma or G.E.D. required. Any alternate specialized post high school education or training will be considered if appropriate to a health care setting.

  • Familiarity with Microsoft Windows-based software products, including Microsoft Word and Excel, preferred. Experience with MedEnt practice management software a plus.

  • Value for high quality customer service standards, with ability to effectively and courteously deal with the public and coworkers in person and on the telephone in a busy, multi-task environment, required.

  • Adequate problem solving skills for assuring effective and appropriate customer outcomes.

  • Sufficient time management capabilities to accomplish assigned duties and prioritize among multiple tasks.

  • Demonstrated ability to maintain confidentiality of all patient-related information.

  • Demonstrated understanding and implementation of the core values of our organization relating to Ethics, Relationships, and Success, as shown by daily actions.
