As an Administrative Assistant, you will provide day-to-day administrative support under limited supervision. This position will provide administrative support to our team of Design and CAD drafting technicians.
Key Responsibilities:
Serve as a point of contact for internal and external communications, including emails, calls, and correspondence.
Maintain accurate and up-to-date filing systems, records, and databases.
Manage and maintain internal online business information in Salesforce, Viewpoint, Prism and other systems.
Support project teams with administrative tasks, such as tracking deadlines, documenting minutes, and following up on action items.
Communicating with other internal groups and external vendors to facilitate collaboration and resolve administrative issues.
Call in locates for design projects
Support in procurement of permits for multiple utility companies including recording, tracking and approvals.
Invoicing in Viewpoint and entry into customer databases
Permit submittals
Perform other general administrative duties as assigned to ensure the team’s success

What it takes:
5+ years of related administrative experience as an administrative assistant or in a similar support role (experience in an engineering or technical environment preferred).
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools is a plus.
Exceptional organizational and time-management skills, with strong attention to detail.
Excellent verbal and written communication skills.
Ability to multitask and prioritize workloads in a fast-paced environment.
Strong problem-solving skills and a proactive approach to tackling challenges.
A high level of professionalism and discretion in handling confidential information.
High school diploma or equivalent required; an associate’s or bachelor’s degree in a related field is a plus.
