Minimum Qualifications

Preferred Qualifications:

  • Governmental Finance experience preferable within a State Educational Agency

  • Familiarity with State of Louisiana rules and regulations as it relates to governmental accounting

  • Possess a knowledge of university regulations, including policies, procedures, and regulations and the ability to communicate that knowledge to the university community

  • Demonstrate excellent communication and interpersonal skills

  • Ability to work independently with little direction

  • Demonstrate organizational skills in handling, directing, and prioritizing multiple and complex assignments/projects and maintaining records

  • Proven skills in identifying issues, determining their cause, developing creative solutions, and following through with implementing resolutions

  • Bachelor's degree in an appropriate discipline preferred and related experience may be taken into consideration to substitute for degree

Job Concepts

The Accounting Coordinator will aide the controller in the efficient operations of the business affairs division handling special projects but also providing auxiliary support for areas that exhibit the following:

A. Periods of the year such as year-end processing or budget season when the workload

increases for specific areas.

B. Staffing shortages due to retirement, layoffs or illness of key personnel.

C. To give special attention and report back to the controller in areas where there are

audit findings or compliance concerns.

D. During the legislative session coordinate responses to the UL system.

Duties will include:

  • Processing of daily and month end reports.

  • Verify that the cardholder completes the process of uploading receipts for both T-Card and P-Card in Works Work Flow and sign off in a timely manner.

  • Responsible for contacting cardholders, approvers, and admins when upload/sign off process is not completed timely for both T-Card and P-Card.

  • Assist cardholders with Works Workflow including step by step instructions for receipt upload and sign off procedure for both T-Card and P-Card.

  • Process monthly P-Card and T Card reports.

  • Review monthly P-Card reconciliations.

  • Maintain all T-Card Cardholder and Approver files. (Approximately 275)

  • Review T-Card Enrollment forms and Certification documents to verify that all proper training has been completed before requesting new cards from Bank of America.

  • Responsible for canceling T-cards for those cardholders who have resigned, retired, and certifying the information is completed in the Bank of America Works System.

  • Provide follow up to cardholder's supervisors and review of online transactions that require completion prior to cancellation of T-cards and deactivation of users.

  • Responsible for approximately 30 approvers' annual mandatory T-Card Certifications; Ensure all Approvers complete Travel Card Certification Course for Approvers (Annually).

  • Maintains and updates Business Affairs Fiscal Policy and Procedures.

  • Creates and revises forms essential for campus wide use as required by Business Affairs

  • Prepare Budget Revisions as needed.

  • Prepare and enter Journal Vouchers.

  • Annual Unclaimed Property reporting.

  • Maintain annual accounts payable spreadsheet.

  • Bank Reconciliation rotation.

  • Communicate and coordinate with all other Business Affairs offices for Finance related tasks as assigned by the controller.
