Job Summary:

JOB SUMMARY

This position supports 2 ACGME accredited programs: the Dermatology Residency program (to be expanded to 15 residents over the next 3 years) and the Mohs Fellowship program (1 fellow currently). This position reports both to the Residency Program Director and the Fellowship Program Director. In addition, the position will support the Vice Chair of Education on coordinating research programs within the Department and with the Clerkship Director in managing all medical student rotations.

KEY RESPONSIBILITIES

  • Assist Residency Program Director in all residency and fellowship program related matters

  • Assist Associate Program Director in all residency program related matters

  • Assist Fellowship Program Director in all fellowship program related matters

  • Assist Clerkship Director, Faculty, chief residents, and Administration as needed

  • Maintain personnel files for residents and fellows in compliance with ACGME and GME requirements

  • Facilitate forms, paperwork, questions, registrations, from the Office of Housestaff and GME offices

  • Create, approve, monitor, all Workday functions for the education program including creation of positions, access requests, registrations, etc…

  • Facilitate forms, visas, required documentation for visiting scholars, residents, medical students

  • Oversee maintenance of our Section housetaff and program information on website

  • Update housestaff handbook

  • Receive resident meeting minutes from chief residents and follow-up on anything that needs attention

  • Coordinate outside electives for residents and non-resident physician trainees and act as liaison between the trainee and the Office of Housestaff

  • Oversee all aspects of medical student rotatorship with support staff

  • Support residents and fellows with administrative tasks

  • Work with chief residents to maintain schedule to ensure resident, fellow, and faculty coverage on clinics, didactic sessions, lab coverage, rotations, on call schedules throughout year.

  • Assist Pathology Program Coordinator with dermatopathology rotators

  • Oversee implementation of the dermatopathology and residency application process through ERAS in coordination with ERAS administrative support

  • Manage expense tracker and update residents on their stipend account amounts regularly

  • Organize and facilitate resident interviews and recruitments process, as needed

  • Administratively support partnerships or affiliations in the education program

  • Purchase books and journals for residency and fellowship programs

  • Order supplies as required by the program director or residents

  • Provide reimbursements, track invoices, purchase orders, receipts etc…

  • Field questions from and ensure information is updated with American Board of Dermatology

  • Organize and facilitate special events, support regularly scheduled events such as didactics, grand rounds, lectureships, etc…

  • Develop Quality Improvement projects that meet ACGME requirements and compliment Section mission.

  • Create monthly clinic schedule and collect necessary data ahead of time

  • Attend GME meetings, APD or AAD trainings, other professional development activities

  • Other education or administrative duties as assigned
