TitleExecutive AssistantWhat will be my duties and responsibilities in this job?
Maintains Organizational Charts for the executive’s organization in collaboration with the HRBP and the executive’s leadership team. Distributes updates monthly.
Orders/purchases office supplies and business cards, makes copies, sends faxes, files and sorts mail as required
Develops/edits Power Point/other types of presentations, under executive guidance.
Assists in the coordination of office moves, new hire set workspace set up, collection of equipment from former employees.
Provides reports from the HR system, as required
Special projects, as assigned
Calendar and Email Management
Proactively manage the calendar for executive(s) assigned to support
Alerts the executive to any urgent matters that require immediate attention and where appropriate, the assistant may prepare draft replies to correspondence for the executive to review
Ensures that the executive’s time is carefully coordinated and planned so that priority meetings are held on a timely basis
Where possible, work with executive to block time on calendar to do e-mail, work on projects, and deal with administrative priorities
Schedules regular meetings with each of the executive’s direct reports and any other individuals that require recurring meetings with the executive with the required frequency
Ensures that the caller’s request is handled by addressing/resolving directly, routing to a more appropriate person, or providing all pertinent information for the executive to act upon
Greets and directs customers and employees visiting the executives as required
Interacts diplomatically with senior leaders, customers and all employees and provides timely responses to all inquiries
Travel & Expense Coordination
Manages travel for the executive assigned to support in accordance with the travel and expense policy
Ensure that travel arrangements are carefully coordinated and planned to provide efficient use of the executive’s time while out of the office
Ensure that detailed travel documents including travel itineraries, meeting itineraries, and logistical information are provided in advance of trip
Completes and submit expense reports for the executive in accordance with the travel and expense policy
Reconcile corporate credit card account and the Corporate P-card used for departmental expenses.
Coordinate logistics for both internal and external meetings to include off site locations, catering, audio visual requirements, etc.
Ensure that materials needed for meetings are printed or attached to appointments as required
What are the requirements needed for this position?
Minimum of 7+ years of experience working as an executive/administrative supporting a high-level executive
Associates degree or equivalent experience in an executive assistant role. Bachelor’s degree preferred
What other skills/experience would be helpful to have?
Displays a high degree of confidentiality and professionalism
Ability to manage multiple competing priorities
Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel)
Ability to work independently
Excellent written and oral communication skills
Strong problem solving
