About Mindful Support Services

We are a business-to-business support service for independent mental healthcare businesses, which helps provider-members service a growing client base. We provide administrative and organizational services to simplify the processes of lead-generation, marketing, billing and collecting payments from patients and insurers. Our teams currently support over 1,300 independent mental health providers, who serve over 20,000 clients per week across 15 locations in Arizona, Colorado, Nevada, Oregon, and Washington as well as virtually via Telehealth.

About the Director of Operations Role

The Director of Operations is responsible for the success and execution of daily operational activities including facility management, technology and software solutions, and back-end administrative processes. Reporting to the Vice President of Operations, this is a high-visibility role with responsibilities for thinking through the tactical aspects of growth such as new location opportunities and process initiatives. The Director of Operations is responsible for driving the daily success of the Operations Department, and leading the collaboration and support of other departments across the organization. The DOO helps manage resources, builds and adapts infrastructure, and problem-solves existing processes for scale.

The area of responsibility for this role is broad and thus requires thorough and in-depth knowledge of industry and company processes. A successful DOO must be an excellent leader who can develop direct reports, collaborate across the company, and create action plans in order to achieve goals.

Responsibilities

  • Oversee the day-to-day operations of Operations, IT, and Facilities Departments; supporting other departments and ensuring seamless business support services to the mental health group.

  • Provide leadership through continual employee development, equipment and process utilization, and facilities/system improvements in all functions.

  • Evaluates business procedures according to organizational objectives and leads initiatives to streamline processes, increase efficiency, and enhance service quality.

  • Oversee the launch of new therapy office locations, including facility construction, project management, budget tracking, and activation.

  • Provide insight and suggestions into operational or performance-related problems, pulling together data from various platforms to be reported up to the VP of Operations and Executive Team.

  • Tracks interdepartmental objectives and assist with budget planning & management, and project management including setting timelines and reporting follow through.

  • Revises and/or formulates policies and promote their implementation, set documentation standards for all process improvements.

  • Develop & maintain strong relationships with internal teams and external partners, including mental health practitioners, to understand their needs and ensure our services align with their business objectives.

  • Negotiates and manages relationships and agreements with internal and external partners, members, and vendors.

  • Provides timely and impactful reporting and analysis to senior leadership in the areas of operational efficiencies, budget impacts, and project updates.

  • Corporate communication- creates value for our services and shares important news with our members and staff via newsletters and email updates.

  • Ensure company operations comply with all relevant laws, regulations, and organizational policies. Proactively manage risks to the organization.

Knowledge, Skills and Abilities Required:

  • Bachelor’s degree in business administration, healthcare administration, or related field

  • 5+ years operations management experience, preferably within a healthcare setting, with proven growth-mindset

  • Demonstrated success in leading teams, managing projects, and improving operational processes.

  • Excellent communication and interpersonal abilities, with the skill to engage effectively with a diverse range of stakeholders.

  • Knowledge of healthcare industry regulations and compliance standards.

  • Proficiency in technology, with experience implementing or managing EHR systems, telehealth platforms, or similar technologies a plus.

  • Working knowledge of data analysis and performance/operation metrics

Location:

This is a full-time position based at the headquarters of Mindful Support Services, LLC in Mountlake Terrace, WA. Some travel may be required to engage with stakeholders or participate in industry events.

Job Type: Full-time, Fully In-Office

Salary: $125,000-$145,000 per year
