EXECUTIVE OFFICE SPECIALIST

Position Summary:

Duties performed are of a complex and varied clerical/technical nature supporting the daily operations of the Michigan Consortium for Addressing Rural Education Expansion and Retention (MiCAREER) Resource Hub. This position will support the Director of Program and Partnerships and the Assistant Directors for the Hub to maintain program continuity, problem-solve, and serve as the primary point of contact for all partners and participants. This position will also be responsible for maintaining data and records for the Hub and will frequently collaborate with finance and grants administration offices at other educator preparation institutions (EPIs). 

Required Qualifications:

High school diploma or GED . Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the position with or without reasonable accommodation. 

Preferred Qualifications:

Bachelor's degree. One year of experience in higher education. Knowledge of specific software programs and databases. Demonstrated ability to design/maintain webpages. 

Duties & Responsibilities:

Completes all administrative tasks for the Hub including maintaining email listservs, maintaining the Hub email inbox and responding to daily correspondence, scheduling, ordering supplies, and monitoring expenses. Provides ongoing website monitoring and information sharing between EPIs for enrollment, transcription of Experiential Learning Credits, and other data sharing requirements. Attends internal website training to provide additional assistance in website maintenance as needed. Supports the Hub team with experiential learning by maintaining and distributing processes and procedures. Creates and maintains a database of interested parties who inquired with the Hub for information. Supports the intake of applicant materials and coordinates with Hub staff to ensure all materials are secure, processed by the appropriate staff, and intake decisions are recorded and shared with the applicant. Collaborates with support staff across partner EPIs to ensure all Hub materials are frequently updated and accessible to external constituents. Supports the Director of Partnerships and Programming and the Experiential Learning Strategist with establishing and monitoring partnership agreements. Maintains detailed records of students, associated tuition costs, and additional expenses to process reimbursements of funds to Hub EPIs. Performs other duties as assigned.

Pay Range: $16.00 - $23.87 per hour (estimated starting rate: $16.00 - $19.00 per hour)
