Description

The Academic Advising and Retention Specialist is the primary support staff member for the Advising & Retention Department. They will assist with academic advising related responsibilities, including, but not limited to, assistance with peak advising, tracking and reporting student engagement and communication, assistance with retention activities and research, supporting databases used by Advising and Student Services and completing administrative tasks needed to support both full and part time advising staff.

This is a Support Staff union position as stated in the Support Staff collective bargaining agreement- Grade 12

Specific Duties and Responsibilities

  • Develop and maintain staff schedules for department activities, advising appointments and walk-in hours in conjunction with department hours, daily work flow and holiday schedule.

  • Utilize the student information system to upload major based student plans for new student applications in collaboration with department leadership.

  • Provide and coordinate office ACD phone coverage

  • Manage incoming Retention Alerts, including advisor assignment and outcome tracking and provide technical support for retention systems in coordination with the Assistant Director.

  • Support and track the student queuing technology for EMSS departments utilizing the system.

  • Assist with sending communication to students from department and division via a variety of methods and technological platforms and provide prompt and accurate responses to student, staff and faculty inquiries with documentation of student interactions in appropriate college systems

  • Support and track the student queuing technology for EMSS departments utilizing the system.

  • Creates reports using the college and retention databases and tracks all student interactions with advising to create necessary reports and assists with technical support for Retention Softwares.

  • In collaboration with the Department leadership, ensure accuracy of Self-Service testing protocols; assist with the develop and document standardized procedures and processes for staff to use the technological resources for review by the Director.

  • Run and evaluate weekly reports on student enrollment in developmental courses for accuracy during peak enrollment and coordinate outreach for any inaccurate placement.

  • Provide assistance with triage services virtually or at the front desk for Student Services and serve as back up support providing advising support during peak times.

  • Schedule department meetings and events and take minutes of all meetings to distribute to the advising team.

  • Prepares correspondence and reports of students on probation, academic dismissals, advisor advisee assignments in collaboration with department leadership.

  • Provide logistical and program support for all advising services during Division events.

  • Provide office services including managing incoming and outgoing department mail, maintaining office supply inventory and ordering supplies, assist with development and editing advising and retention operating practices, assist with recommendations to improve services, and assist with approvals of timesheets for part-time staff in consultation with the Assistant Director.

  • Work evenings and nights as required.

  • Other duties as assigned.

Minimum Qualifications

Education Required:

Associate’s Degree required, Bachelor’s preferred.

Experience Required:

  • At least one year working in student services or in customer service

  • Experience in coursework or employment related experience with excel, technology and software preferred

Skills/Abilities /Knowledge /Other Requirements

  • Demonstrated ability to work collaboratively. Preferred experience working collaboratively with academic and student service team members.

  • Excellent communication and organization skills.

  • Interpersonal skills with demonstrated ability to cultivate effective relationships with a wide range of individuals (such as staff, administrators, students, faculty, and family members) and to work cross functionally.

  • Ability to effectively use voice and data technologies, including computing technologies, software and related college database(s)

  • Ability to work independently with minimum supervision.

  • Ability to multitask and work under pressure

Additional Information

INSTITUTIONAL EFFECTIVENESS:

Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
