The person will be responsible for providing administrative support for the department's communication needs, including social media posts and newsletters, assisting with the upkeep of our website, sending the department bulletin, administrative tasks, and other duties as assigned. The ideal candidate is a reliable, detail-oriented, inclusive team member with excellent communication skills. All software, processes, and procedures are taught on the job; we need someone willing to learn and be a part of the communications team. This position provides on-the-job training on all tools and resources used in day-to-day responsibilities. Job Duties/Responsibilities: * Communications (60%) Support the maintenance and upkeep of the department website and intranet pages Edit and send out the department bulletin, plus any targeted 'Breaking News.' Update and maintain lists used to send targeted communication materials Support communications meetings Post directed information to our Social Media channels Post departmental events through internal channels * Admin Support (15%) Prepare drafts of Letters of Recommendation/Support as requested Serve as admin support when required, such as greeting guests, assisting with meeting set up/take down, distribution of documents, and organizing materials Take minutes in meetings Set up technology in conference rooms for meetings, manage recordings, and support virtual meetings Prepare expense reimbursements and request checks for payments when needed Other duties as assigned * Event/Guest Coordination (15%) Arrange travel logistics (hotel, airfare, etc.) for all Distinguished Visiting Lecturers (DVLs) for the monthly Grand Rounds series. Coordinate meeting schedules, meals, and other necessary arrangements for DVLs Assist in the marketing and outreach of large external Continuing Medical Education (CME) events, such as logistics, reimbursements and honorarium Be on hand to assist and resolve technical issues in virtual meetings Assist with planning and arranging large departmental events, including photo slideshows and presentation slide decks. * Distinguished Visiting Lecture Grand Rounds Administration (10%) Support documentation required for continuing education credits offered in events Serve as admin support for Grand Rounds Committee, maintaining the schedule and speaker itineraries Update Grand Rounds continuing education portal Reserve conference rooms for events Order, setup and clean up food for events Book a restaurant for faculty/guest lecturer dinner Preparer honorarium, disclosure forms and expense reimbursements Qualifications Required Qualifications: *High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience. Computer experience is required. *Independently motivated with a willingness to learn new skills and technical tools as directed *Ability to balance multiple assignments and deadlines *Demonstrated strong communication (oral and written), interpersonal, and project management skills *Excellent organizational, project, time management, and problem-solving skills *Adaptable and flexible *Experience and/or commitment to working with a diverse group of people *Demonstrated ability to take initiative and work independently and under the direction of a supervisor *Successful candidates must be creative and attentive to department and faculty needs, perform at a high level of discretion, integrity, and confidentiality Preferred Qualifications: *Experience using features of Microsoft Office and calendar management *Willingness to learn Adobe Photoshop and Adobe Premiere Pro *Willingness to learn basic website editing About the Department The Department of Psychiatry & Behavioral Sciences consists of an outstanding team of researchers, clinicians, and educators who provide world-class expertise in psychiatric illness, treatment, scholarship, and scientific discovery.
