Description
We are seeking a Client Service Coordinator - Associate to join our team in the Investment Advisory industry. This role involves a variety of administrative duties, including customer service, scheduling, and office coordination. As part of our team, you will have the opportunity to work on special projects and contribute to our commitment to providing exceptional service to our clients.
Responsibilities:
• Coordinate meetings and conference calls to ensure smooth communication within the team
• Handle inbound calls, addressing customer inquiries and concerns professionally and promptly
• Maintain an organized filing system for easy accessibility of documents
• Distribute incoming mail to the appropriate recipients in a timely manner
• Utilize Microsoft Office Suites and Microsoft Teams for various administrative tasks
• Lead special projects, demonstrating strong organizational skills and attention to detail
• Exhibit strong communication skills in all interactions, both internally and externally
• Prioritize tasks effectively to meet deadlines and commitments
• Provide general administrative support to the department, including typing and scheduling
• Ensure the office is well-stocked with necessary supplies and equipment for efficient operation.
Requirements • Proficiency in answering inbound calls to assist clients and provide them with information.
• Experience in scheduling appointments, meetings, and calls to ensure smooth business operations.
• Fast and accurate typing skills for efficient documentation and communication.
• Ability to manage filing systems effectively, ensuring that all documents are properly stored and easily retrievable.
• Excellent communication skills to interact with clients professionally and clearly.
• Experience in handling conference calls, including setting up, moderating, and troubleshooting.
• Proficiency in Microsoft Office Suites for creating presentations, managing data, and drafting reports.
• Capability to lead special projects, demonstrating leadership, initiative, and strategic planning.
• Willingness to work onsite, demonstrating flexibility and commitment.
• Experience in coordinating meetings, including setting agendas, inviting participants, and keeping minutes.
• Knowledge of Microsoft Teams for effective remote communication and collaboration.
• Ability to distribute incoming mail promptly and accurately.
• Having an A Plus certification is desirable but not mandatory.
• Strong organizational skills to manage multiple tasks efficiently and meet deadlines.
