We are seeking a dynamic and proactive Executive Assistant to join our team. The ideal candidate will play a crucial role in enhancing the effectiveness and efficiency of our Board meetings, offsite meetings, and market events by leveraging software solutions and creating innovative templates. You will collaborate closely with the CEO, executives, and the Sr. Executive Assistant to manage and execute projects that support our strategic objectives. This role will provide opportunities for professional development and growth.
Responsibilities:
Meetings & Event Management
Plan, organize, and execute Board and offsite meetings with a focus on innovation and efficiency.
Utilize software solutions to streamline meeting processes and enhance participant engagement.
Develop and maintain templates for Board, and Executive Management Committee offsite meetings to standardize documentation and reporting.
Project Management:
Assist in coordinating large-scale meetings and events, including market events and speaking engagements.
Ensure projects are completed on time, within scope, and within budget by managing resources effectively.
Create detailed project plans and timelines to support event execution.
Executive Support:
Provide comprehensive administrative support to the CEO.
Schedule and maintain calendars, appointments, and travel arrangements for the CEO.
Prepare and edit correspondence, communications, presentations, and other documents as needed.
Communication & Collaboration:
Serve as a liaison between executives, Board members, and other stakeholders.
Facilitate clear communication and collaboration to ensure alignment and adherence to strategic goals.
Support the preparation and distribution of meeting agendas, minutes, and follow-up actions.
Qualifications:
Bachelor’s degree in Business Administration, Project Management, or related field preferred.
Proven experience as an executive assistant or project manager, or equivalent role.
Strong proficiency in software tools for meeting management and document creation
Exceptional organizational skills with the ability to manage multiple priorities and projects simultaneously.
Excellent verbal and written communication skills, with attention to detail.
Demonstrated ability to innovate and implement effective solutions.
