Description We are offering a short term contract employment opportunity for a Receptionist in the non-profit industry, located in Lynnwood, Washington. The role involves a variety of administrative and customer service responsibilities in a detail-oriented office setting.
Responsibilities:
• Handling incoming and outgoing calls, providing information, and directing them to the appropriate parties as needed.
• Greeting and providing relevant information to customers, as well as directing them accordingly.
• Efficiently managing service requests and shutdown information, and communicating the same to the Maintenance Department.
• Ensuring office supplies for the Maintenance and Operation Department are always stocked.
• Providing administrative support to M& O managers and staff, including but not limited to typing, formatting, and producing reports.
• Taking responsibility for functions related to the CMMS system, which may include data entry, work order creation, and report generation.
• Managing incoming mail, sorting, and distribution, as well as preparing outgoing mail.
• Documenting and maintaining telemetry reading reports.
• Preparing and updating weekly telemetry charts as required.
• Transcribing meeting minutes as and when needed. Requirements • Proficiency in answering a multi-line phone system, effectively managing incoming and outgoing calls.
• Strong customer service skills with a focus on providing a positive experience for all visitors and callers.
• Ability to perform data entry tasks accurately and efficiently.
• Experience in managing email correspondence, ensuring timely and detail oriented responses.
• Excellent interpersonal skills for effective communication with colleagues, visitors, and callers.
• Proficiency in Microsoft Excel for data organization and analysis.
• Experience in using Microsoft Outlook for email management, scheduling, and task organization.
• Proficiency in Microsoft Word for document creation, editing, and formatting.
• Experience in organizing files, maintaining an efficient and accessible filing system.
• Ability to schedule appointments effectively, managing the calendars of staff members as required. TalentMatch®
