Position Description:

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as: planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. A thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based upon overall operation effectiveness.

Major/Essential Functions:

High level of professionalism exhibited to all visitors, callers, students and faculty in person and by phone.

Maintaining calendars, scheduling appointments, meeting requests, room reservations, emailing and correspondence. Keeping inventory and ordering office supplies for the department. Issuing parking permits for visitors, faculty and staff. Submitting open parking requests for events.

Scheduling Jr. Faculty workshops and faculty lunches for Associate Dean for Research. Calendaring and planning the visits of visiting faculty speakers, planning their schedules and assisting them with accommodations. High level of confidentiality, assisting with Student Disability/Accommodations, Scholastic Probation, Dismissals and Grade Appeals. Assisting Registrars and Adjunct Professors as needed. Printing and processing academic award letters for students. Notarizing bar applications for students. Finding and scheduling class note takers for Office of the Registrar for students with disability accommodations. Email correspondence with students, giving instructions, providing forms and assisting student note takers as needed.

Provides administrative support or technical program assistance work to the Associate Dean for Academic Affairs and the Director of the Office of Academic Success. Works with extensive direct supervision. Manages the front desk in Administration, answering law school phone lines, greeting & directing visitors and guests to the law school. Helps with faculty meetings. Arrange meals for various events for the respective Associate Deans.

Preferred Qualifications:

  • Proficient with Microsoft Outlook, Word, Excel, PowerPoint, Publisher, and Access. Working knowledge of Word Perfect and Adobe Acrobat.

  • Be professional, dependable, organized, administratively adept, able to multi-task, communicate effectively and be customer-service oriented. Be able to develop positive working relationships. Be dependable and on time to work. Be flexible and adaptable to changes. Keep information confidential.
