Community Health Programs at Herman Ostrow School of Dentistry of USC is looking to hire anAdministrative Budget Assistantto join the team! The Administrative Budget Assistant will execute administrative tasks and handle budget transactions under the supervision of the Associate Dean for Dental Public Health and Community Outreach. They will aid in budget preparation for grant proposals by collecting information, conducting research, and overseeing expenditure tracking through internal records (USC financial system), offering initial data analysis. Additional duties encompass processing payroll adjustments for faculty, staff, and students, procuring supplies, reconciling vendor statements and invoices, and liaising with vendors to confirm pricing. Furthermore, they will manage travel arrangements and reimbursement processing for employees, alongside undertaking other delegated administrative responsibilities.

Job Accountabilities:

  • Assists with budget preparation for grant proposals. Gathers pertinent information and assists in developing budget projections. Gathers information on financial requirements for proposals.

  • Monitors and/or controls expenditures for intercampus and external vendors. Reconciles vendor statements and pays invoices. Interfaces with purchasing, external vendors and accounts payable to verify prices and resolve discrepancies.

  • Prepares, processes and/or reviews paperwork, e.g., department orders and check requests, requisitions and other budget and business forms. Prepares and processes travel advances and reimbursements for faculty and staff. Tracks equipment purchases and obtains maintenance contracts.

  • Ensures confidentiality and controls access to sensitive information such as faculty or staff personnel files.

  • Reconciles internal records to university financial system ASR's. Researches problems and corrects errors.

  • Researches and gathers data for departmental reports. Conducts preliminary analysis of data. Recommends report content and format to display findings most effectively.

  • Composes and produces a variety of correspondence, reports and confidental documents as assigned. Interacts with department/supervisor to facilitate communication and information

  • Research and secure hotel/travel agreements & reservations.

  • Performs administrative duties associated with scheduling and coordinating meetings. Records minutes & summarizes for distribution as needed.

The preferred qualifications include:

  • Exceptional written and verbal communication abilities.

  • Proficiency in budget management and data analysis, with strong mathematical and Excel skills.

The hourly rate range for this position is $24.00 - $27.00.
