Role Description

  • The Onsite Fulfilment Manager requires a production fulfilment coordinator with experience in delivering on-site components of partner agreements across the Live Nation network.

  • This role requires someone with focus and tenacity to keep all activation fulfilment on track and on time, often on concurrent events at peak periods.

  • Cool, collected, with the command to deal with conflicting priorities and urgent issues as they arise, the successful individual will also foresee and neutralise any potential issues, before they occur as a par for the course.

  • We need someone with a hands-on approach, not afraid to roll their sleeves up and sort matters out at source, onsite promptly.

  • Working closely on a daily basis with all internal department teams (Account Management, Sales, Creative Solutions and LN Experiential), festival production teams, external clients and their agencies, strong people skills are key.

  • The role will also require adaptability in situations and communication style whether dealing with blue chip client representatives or onsite working crews and suppliers.

  • As required including Weekend, ‘Out of Hours’ work, Substantial time away from home onsite


  • Reporting to the Onsite Fulfilment Manager on sponsorship site requirements of all partnerships across the Live Nation UK portfolio.

  • Working closely with the all of the teams in the Marketing Partnership department.

  • Communicating extensively with event teams so they are across all activation updates.

  • Maintaining accurate information being added to the departmental IT system

  • Manage all partner requirements including (but not limited to):

  • Pre event: Maintaining accurate records in the IT software system. Conducting site visits and securing positions on maps. Collation, checking and submission of all requirements – pinpointing any gaps in partner orders. Advancing all elements of individual builds, collating and sharing all necessary supporting documentation for services, H&S and licensing needs, managing security scheduling, IT deployment requests, producing event specific production schedules, managing accommodation for the internal teams, managing catering requirements as needed, booking onsite facilities required as needed and other jobs as deemed required by the Head of Onsite Fulfilment.

  • At event: managing load in and load out, sorting any issues with the site manager/production teams, briefing the Security Manager, handling accreditation and distributing to sponsors accordingly, managing a team on site to assist in delivering the services requested by sponsors, recording events chronologically and reporting these events in an ‘end of day’ report, getting sign off of delivered facilities from each Sponsor, checking all Sponsor branding is in place/Looking out for competitor branding/branding in the wrong place, Optimise activations for brands (liaising with production and marketing teams), Ensuring activations are open on time and working properly, Ensuring all activation teams are adhering to all onsite rules, Be and onsite point of contact for brands in terms of problem solving

  • Post event: Invoicing with event teams, reconciliation of services delivered, debriefing with onsite teams

  • Misc: Leading on any other partner or department requirements requiring a build or site assistance, including but not limited to - the fixing of partner stage scrims, flags & branding, construction of side of stage or other viewing platforms, line Management duties of temporary and freelancers as appointed, overseeing bar branding including assisting in the full production and ensuring correct on-site delivery from a range of suppliers and crew.

  • Other jobs as directed by the Onsite Fulfilment Manager


Skills / Knowledge / Experience Essential

  • Extensive, demonstrable production expertise within the live event sphere

  • Exposure to brand partnerships & client facing know-how

  • Exceptional organisational skills

  • Excellent communication skills with the adaptability to tailor approach to people from all walks of life

  • Proven track record of taking command and ownership of situations and projects

  • Resourceful and flexible with a positive ‘can do’ approach

  • Unrelenting Stamina (25+ festivals at the moment, and this is increasing)

  • Working knowledge of Word for Windows, PowerPoint, Excel and Outlook

  • Full Driver’s licence

Skills / Knowledge / Experience Desirable

  • Working knowledge of one or more of the festivals within the LN Portfolio

  • Plant ticket, NEBOSH, IOSH and/or similar working qualifications
