Personal Assistant

Role Purpose

To provide highly efficient PA support to the T.M.T. Sector Lead and both Client Solutions heads, including their respective teams. This role involves working with teams of varying seniority. Occasionally, assistance may also be required for other members of the wider department.

Key Responsibilities

  • Extensive diary management with an understanding of the team’s priorities – pro-actively manage the teams’ busy diaries, arranging both internal and client meetings, lunches and dinners

  • Efficiently managing the schedules, organising meetings and ensuring that they are adequately prepared

  • Setting up recurring internal or external meetings when required

  • Organising workshops, internal and offsite events, and internal client meetings.

  • Arranging domestic & international travel via our travel company. Arranging hotels and visas. Producing detailed itineraries.

  • Amending and formatting reports.

  • Assisting with the creation of pitches and maintain team’s pitch schedule.

  • Ensuring the handling of sensitive information with the utmost confidentiality and discretion

  • Prepare and submit expenses, track and reconcile expense report

  • Full management of e-filing.

  • Organise internal and client events both onsite and offsite.

Person Specification/Requirements

  • 2 years’ PA experience.

  • Excellent organisational skills and great attention to detail.

  • Ability to prioritise and manage workload.

  • Excellent communication skills – both written and verbal.

  • Advanced IT skills (Word, Excel, MS Outlook and PowerPoint).

  • Ability to work autonomously and as a part of a wider team.

  • Discretion and sensitivity around confidentiality.

  • Adaptable - Able to manage the team’s changing priorities.
