Position Description:

Job Purpose and Scope:

Under general direction, provides administrative and professional support as directed by the executive management supervisor.

Essential Job Functions:

  • Provides all general office functions, which include typing, editing, transcribing, copying, filing, faxing, documenting and distributing correspondence.

  • Provides back-up assistance to other officers with preparation (including typing, formatting and data-gathering) and filing of reports.

  • Maintains team logistical information such as scheduling, and meeting coordination.

  • Coordinates internal and external meetings.

  • Coordinates the gathering of information needed for received requests.

  • Communicates with internal and external customers to ensure those parties receive excellent customer service at all times.

  • Completes special assignments as needed.

  • Researches, compiles, and analyzes data for special projects and various reports.

  • Answers and directs incoming telephone calls.

  • Interacts frequently with members of senior management. Provides assistance to others in the department as needed.

  • Maintains confidentiality and exercises discretion with respect to Company and Bank matters, personnel matters, and job duties.

  • Maintains good attendance and punctuality to work.

  • Follows Bank policy, procedures and guidelines.

Knowledge, Skills & Abilities:

  • Comprehensive knowledge of administrative and clerical procedures.

  • Ability to communicate effectively both verbally and in writing with all levels of management.

  • Ability to multi-task and deal effectively with unexpected events.

  • Ability to demonstrate initiative and work independently to prioritize and complete assigned tasks.

  • Ability to manage multiple priorities and work with exacting deadlines.

  • Ability to work overtime if needed.

  • Ability and willingness to follow policies and procedures.

  • Ability and willingness to support organizational goals and values.

  • Ability to demonstrate flexibility and adaptability to absorb new duties and responsibilities.

  • Highly skilled in using computer, including Microsoft Word, Excel, Outlook and PowerPoint.

Position Requirements:

Basic Qualifications:

  • High school diploma or equivalent required.

  • Minimum of (5) five years of work experience in an administrative/executive assistant role required.

  • Minimum of (5) five years of work experience with Microsoft Word, Excel and PowerPoint required.

  • Valid driver’s license with good driving record.
