Description of Job:
The purpose of this position is to provide direct assistance and administrative support to the Chief Executive Officer (CEO) and the Senior Leadership Team in Libertyville, Illinois. This role will work independently on special assignments related to the business, manage access to the executives, maintains and modifies executive schedules. In addition, this role ensures executives are made aware of issues that need immediate attention. Maintain and control a variety of complex confidential communications that affect the entire organization. Design and maintain administrative procedures to ensure smooth operation of the office when executives are unavailable. Provide leadership and direction to the administrative teams throughout Valent.
Principal Responsibilities:
Provide direct assistance to the Chief Executive Officer (CEO) and the Senior Leadership team in Libertyville. This role is a tactical partner in managing access, schedules and corporate calendars for the executive team. Communicate and resolve schedule conflicts and confidential business matters immediately.
Work autonomously to drive special projects and events as needed. Require high degree of attention to detail and trust to handle confidential business matters, supports and maintains smooth operation of the office. Responsible for the release of a variety of complex communications that affect the entire organization. Design and maintain procedures that allow appropriate access to confidential information.
Provide a wide range of complex office administration and support activities to serve as the principal administrative contact and liaison with all internal and external contacts.
Manage calendars and agendas for the entire leadership team, while serving as the primary coordinator for executive meetings and events, including the arrangement of complex and detailed travel plans, itineraries and agendas.
Manage all domestic and international travel arrangements including invoicing and expense reporting for senior executives.
Support executives in the development of influential presentations to deliver internal and external messaging; including developing executive level slide decks and adapting notes to create high impact presentations. In addition, assisting senior leadership with taking minutes for special meetings and assisting with report consolidation and preparation.
Responsible for the release of a variety of complete communications that affect the entire organization, including editing and crafting drafts for written communications (print, electronic and presentation) to internal and external stakeholders.
Lead, organize and coordinate arrangements for corporate events, functions, meetings, training sessions and social gatherings.
Oversee communication of events, review and approve contracts, make hotel and travel reservations, create agendas, handle menu selection, secure necessary equipment and supplies such as IT, video equipment, flipcharts, handouts, PowerPoint presentations, name tags etc.
Identify preferred vendors; negotiate corporate rates with travel agencies, hotels, restaurants, rental car agencies, etc.
Manage corporate calendar and notify office staff of meetings with visitors, customers, vendors, and dignitaries.
Other projects assigned.
Skills:
Solid interpersonal skills and ability to build and maintain relationships with stakeholders, including C-Level, Valent group companies and SCC executives from different countries.
Ability to perform multiple tasks flawlessly with excellent attention to details.
Strong self-starter, who can anticipate the needs of the senior leadership team.
High degree of integrity, confidentiality, discretion and professionalism.
Exceptional oral and written communication skills;
Attention to detail and exceptional organization and time management skills
Ability to negotiate, persuade and influence change
Must be able to work independently and work collaboratively with teams.
Proficient in MS Office Suite (Word, Excel, PowerPoint, etc.);
Professional Certifications in event planning, meeting planning or program coordination a plus.
Certified as a Notary Public preferred
Experience:
• 8-10+ years of administration experience including five (5) years working with executive teams.
• Experience working in a global company preferred. Cultural awareness to ensure that information about activities and events is communicated clearly, accurately and appropriately to employees with diverse backgrounds.
Education:
• High School Diploma Required. College degree preferred.

Base Salary: The estimated annual base salary for this position ranges from:
$88,700 to $108,700. Individual pay is based upon location, skills, experience, and other relevant factors.
Incentives: All full-time employees are eligible for an incentive program or profit-sharing program in addition to their base salary.
