LC State invites applications for the position of Program Assistant for Campus Card & Events

Salary and rank based on experience and qualifications: \$46,052

Degree Required:Bachelor\'s degree from a regionally accredited college or university

Required Qualifications:

  1. Experience with software technologies to manage activities/operations.
  2. Ability to work independently and cooperatively on multiple projects in a fast-paced environment.
  3. Ability to organize resources, establish priorities, and meet deadlines.
  4. Ability to manage financial transactions, contractual documents, and monitor budgets.
  5. Excellent presentation, communication, and customer service skills are essential.
  6. Able to work some evenings and weekends for key events.
  7. Valid driver\'s license.
  8. Ability to move and/or lift up to 40 pounds.

Preferred Qualifications:

  1. Master\'s degree from a regionally accredited college or university.
  2. Previous experience working in higher education with support services, finances, and organizational processes.
  3. Previous experience working with a CRM, campus card system, and/or database software.

Responsibilities:

1. SUB/CSL

  1. Manage SUB/CSL Information Desk/campus switchboard operations;
  2. Schedule, train, and supervise Information Desk/switchboard student staff;
  3. Monitor/purchase building equipment/supplies to maintain adequate inventory;
  4. Coordinate the purchase of equipment, supplies, and services for SUB/CSL;
  5. Monitor/report/address building maintenance and/or repair needs;
  6. Reconcile/monitor budgets and prepare financial information for administrative review;
  7. Oversee financial processes/transactions at the Information Desk; and
  8. Provide quality customer service and environment for SUB/CSL users.

2. Campus Card System

  1. Manage the campus card system (software, printer, and equipment/supplies);
  2. Coordinate the process of issuing ID cards/name tags for students/faculty/staff/guests;
  3. Grant access and allocate funds to cards through data import/exports;
  4. Run reports to assess card usage and monitor activity/engagement; and
  5. Interface with campus card system provider for scheduled software updates/needs.

3. Events and Conferences

  1. Provide reservation system (25Live) support and coordinate the use of college facilities/resources for meetings and special events;
  2. Assist with updating/processing documentation needed for facility use, compliance, billing, and collections;
  3. Run reservation system reports as needed for event review/utilization;
  4. Schedule, train, and supervise the WCC setup crew as needed by the coordinator;
  5. Assist with WCC event setups as needed; and
  6. Provide quality customer service and environment for facility users.

4. Administrative

  1. Provide administrative support for SUB/CSL and Event Services staff/operations;
  2. Make recommendations on processes/efficiencies and assist with policy development;
  3. Hire, train, supervise, and evaluate student employees;
  4. Assist with strategic planning and program assessment;
  5. Support institutional recruitment and retention activities/initiatives;
  6. Serve on campus committees with supervisor approval; and
  7. Complete other duties as assigned by the supervisor.

Additional duties include direct and indirect activities to support the recruitment and retention of students.
