LC State invites applications for the position of Program Assistant for Campus Card & Events
Salary and rank based on experience and qualifications: \$46,052
Degree Required:Bachelor\'s degree from a regionally accredited college or university
Required Qualifications:
- Experience with software technologies to manage activities/operations.
- Ability to work independently and cooperatively on multiple projects in a fast-paced environment.
- Ability to organize resources, establish priorities, and meet deadlines.
- Ability to manage financial transactions, contractual documents, and monitor budgets.
- Excellent presentation, communication, and customer service skills are essential.
- Able to work some evenings and weekends for key events.
- Valid driver\'s license.
- Ability to move and/or lift up to 40 pounds.
Preferred Qualifications:
- Master\'s degree from a regionally accredited college or university.
- Previous experience working in higher education with support services, finances, and organizational processes.
- Previous experience working with a CRM, campus card system, and/or database software.
Responsibilities:
1. SUB/CSL
- Manage SUB/CSL Information Desk/campus switchboard operations;
- Schedule, train, and supervise Information Desk/switchboard student staff;
- Monitor/purchase building equipment/supplies to maintain adequate inventory;
- Coordinate the purchase of equipment, supplies, and services for SUB/CSL;
- Monitor/report/address building maintenance and/or repair needs;
- Reconcile/monitor budgets and prepare financial information for administrative review;
- Oversee financial processes/transactions at the Information Desk; and
- Provide quality customer service and environment for SUB/CSL users.
2. Campus Card System
- Manage the campus card system (software, printer, and equipment/supplies);
- Coordinate the process of issuing ID cards/name tags for students/faculty/staff/guests;
- Grant access and allocate funds to cards through data import/exports;
- Run reports to assess card usage and monitor activity/engagement; and
- Interface with campus card system provider for scheduled software updates/needs.
3. Events and Conferences
- Provide reservation system (25Live) support and coordinate the use of college facilities/resources for meetings and special events;
- Assist with updating/processing documentation needed for facility use, compliance, billing, and collections;
- Run reservation system reports as needed for event review/utilization;
- Schedule, train, and supervise the WCC setup crew as needed by the coordinator;
- Assist with WCC event setups as needed; and
- Provide quality customer service and environment for facility users.
4. Administrative
- Provide administrative support for SUB/CSL and Event Services staff/operations;
- Make recommendations on processes/efficiencies and assist with policy development;
- Hire, train, supervise, and evaluate student employees;
- Assist with strategic planning and program assessment;
- Support institutional recruitment and retention activities/initiatives;
- Serve on campus committees with supervisor approval; and
- Complete other duties as assigned by the supervisor.
Additional duties include direct and indirect activities to support the recruitment and retention of students.
