Job Description

Under the direction of the Community Relations Officer this individual will provide administrative support as well as develop and maintain reports and communication for the Community Relations division. Responsibilities include providing schedule management, arrangement and preparation of meetings, travel arrangements, assisting with the management of policies/procedures and processing reimbursement expense reports including general clerical responsibilities. Supports budgeting and billing, document control systems, record maintenance and spreadsheet and electronic record keeping.

Duties also include working with other members of the executive management team, board members, external clients and other personnel in arranging meetings and other projects. A high level of discretion is required in handling a variety of confidential material. Excellent organizational skills and critical thinking skills are required. Establishes and maintains data entry, database content, spreadsheets, files, etc. for Community Relations. Establishes forms, processes and communication as directed by Community Relations Officer.

Minimum Requirements

  • Baccalaureate Degree or equivalent in a combination of education and relevant experience.

  • Four years of executive assistant and/or advanced secretarial experience.

  • Experience with educational programming.

  • Excellent oral and written communication skills and professional presence with a customer service orientation.

  • Ability to interact effectively with patients, physicians, government and civic leaders.

  • Ability to deal with issues with tact and confidentiality.

  • Ability to work in a fast-paced environment and perform a variety of tasks with no supervision.

  • Ability to prioritize work tasks and handle appropriately.

  • A team oriented individual with the ability to deal effectively with all levels of staff in the resolution of problems and the completion of tasks.

  • Ability to process and integrate complex information and appropriately exercise independent judgment.

  • Strong organizational skills necessary to organize and deal with workload that involves tight deadlines, managing multiple tasks and project simultaneously as well as confidentially.

  • Excellent personal computer skills including advanced skills in MS Word, Microsoft Access, Microsoft Visio, PowerPoint, Excel and Outlook required.

  • Ability to organize large amounts of varied materials, maintain files, research policies and procedures, perform simple bookkeeping tasks, and transcribe dictated materials.

Preferred Qualifications

  • Advanced secretarial training.
