FM Executive Administrative Assistant, Client Services & Marketing in JOHNSTON, Rhode Island

Summary:

Under minimum supervision, works independently using considerable judgment and initiative to handle all executive administrative functions on behalf of two Executives within the marketing and client services teams. Uses discretion with regards to sensitive and highly confidential matters.

The Chief Client Experience Officer and the team are responsible for overseeing the company's client service process as well as its client experience strategy and programs. Teams within this group include Staff Client Services, Brand Experience and Engagement, and Sponsorships.

The Chief Marketing Officer and team are responsible for creating and executing promotional strategies across all marketing channels, manage brand positioning, FM's digital presence, and raise brand awareness through targeted campaigns. They handle media inquiries, ensure consistent media coverage, and cultivate strong relationships with media representatives.

Schedule & Location:

This is a full-time office-based position in Johnston, RI. This position is hourly and based on 37.5 hours per week.

• Manages calendar and supports prioritization

• Organizes meetings and events

o Prepares materials such as presentations, agendas and minutes.

o Meeting set up including location

• Handles a variety of administrative tasks using an understanding of company policy and executive preference (e.g., expense reports, invoices, budget, itineraries/travel, purchasing supplies, files and records)

• Gathers and summarizes information and may prepare complex reports to support executive decision making

• Supports management of interactions and correspondence with internal and external contacts on behalf of an executive based on style and preference

Required Education:

• High School Diploma or equivalent

Highly Preferred Education:

• College Degree

Required Work Experience:

• 8+ years of administrative/executive experience supporting senior management

Required Skills:

• Proficient with Microsoft office (e.g., Outlook, Word, Excel, and PowerPoint) and systems used for administrative support

• Highly organized and detail-oriented

• Ability to work in a fast-paced environment and consistently meet deadlines

• Strong interpersonal skills and ability to act with diplomacy and tact

• Ability to support interactions and correspondence with internal and external contacts on behalf of an exec based on their style and preference

• Discretion with regards to sensitive and highly confidential matters

• Provide assistance and mentorship to admins with less experience

The hiring range for this position is $32.08-$46.12 per hour. The final salary offer will vary based on individual education, skills, and experience.
