The School of Applied & Engineering Physics (AEP) is a school in Cornell University's College of Engineering. The mission of the School of Applied and Engineering Physics is to create and disseminate knowledge in intellectual areas at the interface between physics and traditional engineering or scientific disciplines, using the techniques, skills and principles commonly associated with physics.


Within the School of Applied & Engineering Physics (AEP), the Undergraduate/ M.Eng Coordinator plays a key role in the success and well-being of the undergraduate and M.Eng population and in particular to the "affiliated" majors to the degree program. This role is often a first point of contact for prospective/current students and their families and also represents the public face of the school to those populations. As a critical part of a college/university-wide system to support student success, the incumbent coordinates a significant portion of the school administrative and operational functions related to the undergraduate and M.Eng degree program. They collaborate with Engineering Student Services to develop and implement services to support undergraduate and M.Eng students and are part of the team that addresses students of concern or at risk. This role may be exposed to highly confidential and sensitive information.


Enrollment representatives within Cornell's colleges, schools, and units regularly collaborate and partner with the Enrollment Division to accomplish the University's enrollment goals.

The Opportunity


The School of Applied and Engineering Physics is seeking a highly organized and proactive Undergraduate/M.Eng Coordinator to join their dedicated team. This vital role supports both our undergraduate and Master's of Engineering in Engineering Physics programs under the leadership of the Director of Administration. Working closely with the Graduate Field Coordinator, Director of Undergraduate Studies, and Director of M.Eng Program, you will play a crucial role in fostering student success and managing academic processes.


Key Responsibilities:


- Administer and support the operations of the undergraduate program, including but not limited to student affiliation, correspondence, record keeping, and coordinating academic committees.


- Coordinate and schedule school courses, ensuring all logistics are handled efficiently.


- Serve as the first point of contact, providing personalized advising to students, addressing unique needs and directing them to appropriate resources, including counseling and faculty advisement. Be the public face to prospective/current students and their families.


- Develop promotional materials for the major and actively participate in recruitment activities.


- Manage complex correspondences and maintain the integrity and security of student records.


- Advise on academic requirements and support students through sensitive or challenging situations.


- Engage in significant program support duties, including event planning, data management, and content creation for various communication platforms.


- Liase with faculty and staff to ensure compliance with academic policies and legal standards.


- Contribute to the school's community by supporting student groups and professional society chapters.

What We Need

  • Associate's Degree and4-6 years of relevant experience, or an equivalent combination of education and experience.

  • Ability to read and comprehend policies, guidelines, protocols and ask appropriate questions when dealing with outlier situations.
  • Ability to quickly learn software programs, understand data relationships using multiple sources, and create meaningful reports both routine and ad-hoc.
  • Must be available to work during commencement weekend and potentially other events that may be scheduled off business hours.
  • Support Graduate Field Coordinator as needed; serve as a back-up when needed.

  • Bachelor's degree with 1-2 years of experience in a student services-related role.
