Description We are offering a short term contract employment opportunity for an Executive Assistant in Irving, Texas, United States. As an Executive Assistant, your role will primarily involve managing high-level administrative tasks for the Executive Leadership Team, ensuring smooth office operations, and acting as the primary point of contact for internal and external communications.
Responsibilities:
• Overseeing daily office operations to maintain an organized workplace.
• Managing the calendars of the Executive Leadership Team, which includes scheduling meetings, appointments, and travel arrangements.
• Serving as the first point of contact for both internal and external communications related to the Executive Leadership Team.
• Coordinating and facilitating executive meetings, including preparation of agendas, taking minutes, and tracking follow-up actions.
• Handling confidential and sensitive information with the utmost discretion.
• Ensuring timely and detail-oriented handling of incoming calls, mail, and visitor inquiries.
• Assisting with the organization of company-wide events, board meetings, and conferences.
• Supporting special projects and initiatives as directed by the Executive Leadership Team.
• Liaising with building management as required.
• Maintaining supply of office essentials to ensure availability. Requirements • Minimum of 5 years experience in an Executive Assistant role or similar
• Proficiency in calendar management and scheduling
• Excellent communication skills, both verbal and written
• Experience in coordinating and facilitating conference calls
• Ability to manage detail oriented correspondence
• Proficiency in Oracle CRM software
• Skilled in arranging travel, including booking and handling travel arrangements
• Experience in travel expense management and reporting
• Ability to prepare and review expense reports
• Experience in coordinating meetings and luncheons
• Proficiency in Microsoft PowerPoint and Microsoft Office Suites
• Familiarity with Microsoft Office SharePoint Server
• Experience in office administration
• Knowledge of process implementation practices
• Experience in continuous process improvement TalentMatch®
