Job Summary: This critical role is focused on providing support for financial management, contractual oversight, vendor collaboration, and process improvements in support of clinical trials. The Senior Specialist will play a key role in ensuring accurate budget tracking, contract management, payment processing, and vendor engagement while maintaining compliance with organizational and regulatory requirements.
Key Responsibilities:
Fund Set-Up and Contract Management:
Complete the fund set-up and contract management process within the Ariba system and facilitate fund adjustments as needed.
Ensure fund statuses (open/close) in Ariba align with the active/inactive status of the Interactive Response Technology (IRT) systems for clinical studies.
Budget Monitoring:
Maintain and monitor IRT budgets on a bi-annual basis by assessing study-specific inputs from Trial Supply Managers (TSM), IRT, and R&D Finance based on active and new study requirements.
Capture associated savings through IRT contract discounts, Request for Proposal (RFP) bidding, and negotiation efforts.
Invoice and Payment Processing:
Collaborate with North America Latin America (NALA) teams to process invoice payments to IRT vendors, ensuring accuracy and compliance.
Track new contract start and end dates to avoid overpayments for excessive months of maintenance billing and ensure contracts reflect current study timelines. Utilize end dates to ensure that Ariba/SAP funds are sufficiently funded for projected IRT needs through study completion.
Vendor and Contract Management:
Work with vendors and Clinical Supply Chain (CSC)/IRT staff to:
Review the quality and accuracy of draft Work Orders/Change Requests.
Analyze vendor-proposed budget modifications against existing contract values and current CNF.
Obtain partially executed Work Orders/Change Orders from vendors.
Assist in vendor creation and resolve vendor management troubleshooting activities.
Archive electronic final executed (FE) copies of IRT contracts, Supply Agreements, and Change Orders using Icertis.
Record Keeping and Audits:
Pull and provide IRT supporting contract documents and payment information for ad hoc audit and analysis requests.
Process and maintain SAP service orders for annual maintenance of IRT-related activities in alignment with the Operating Expense (OPEX) budget.
Provide redacted contracts (e.g., Statements of Work and Change Orders) to BMS team members when requested.
Evaluate and refine operational processes to yield strategic improvements, cost savings and operational efficiencies.
Qualifications:
Undergraduate/graduate degree in business, science, supply chain management or related field.
Minimum 3 years of experience in pharmaceutical supply chain management or related operational planning experience.
Must have the ability to interact effectively with management and to influence colleagues without direct authority over the individuals
Ability to professionally, effectively and respectfully represent BMS in dealings with external companies' colleagues
Proven ability to collaborate across departments to achieve shared goals.
Advanced organizational skills, negotiation skills and attention to detail.
Problem-solving skills and ability to resolve complex issues.
Excellent communication skills, both verbal and written.
Ability to prioritize tasks and manage competing deadlines effectively.
Proficient with MS Office suite
