JOB PURPOSE : Maximize performance, profitability, and protection of commercial assets through effective management of lease administration, tenant relations, cash management, accounting, and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by Harbor Group Management Company.

Building Administration

  • Review lease abstracts, process move-outs, refund security deposits and handle tenant correspondence such as delinquency notices, rent statements, sales requests. etc.

  • Support the Property Accountant, with accounts payable, receivables and cash management activities, including but not limited to entering vendor invoices and W9’s, monthly reporting, posting deposits and making rent collection calls.

  • Assist Property Accountant, as needed, in handling expenses and reconciliation data for the annual budget, including the calculation and invoicing of the annual operating expense reconciliations.

  • Collaborate with the Property Accountant, as necessary to manage banking activities, including the research and correction of bank reconciliations as well as the initiation of reserve disbursements.

  • Manage the tenant work order process, directly handled by Tenant Services Coordinator.

  • Oversee the tracking tenant sales, certificates of insurance and preventative maintenance agreements.

  • Prepare property reports as needed, including weekly occupancy reports, monthly property inspection reports, monthly and quarterly management reports and annual BOMA Experience Exchange Report (if applicable).

    Building Operations

  • Communicate with contractors on warranty items and outside building repairs.

  • Schedule outside services and contractors for both tenant and building needs (if applicable).

  • Manage contracts and relationships for all services required to operate the building.

  • Directly responsible for oversight of Janitorial and Security vendors.

  • Communicate with Amenities Operator on the overall efficiency of the amenities space.

    Tenant Relations

  • Liaise with Tenants to ensure all service levels are met and needs are addressed.

  • Create and track Agenda for monthly tenant meetings held at the property.

  • Act on tenant requests and complaints and assure follow-up and completion.

  • Coordinate tenant special events, both building wide and for individual tenants (if applicable).

    General

  • Continually improve skills and abilities for growth in property management through CPM and RPA studies and attending BOMA seminars and programs.

  • Special Projects as assigned

  • Bachelor’s degree in Property Management or related field, or commensurate experience required.

  • Certified Property Manager (CPM) and/or Real Property Administrator (RPA) credential is preferred.

  • 3 - 5 years’ experience in property management, marketing and/or leasing office buildings with a major management firm, owner, or developer of Class A properties in a downtown business district is preferred.

    SUPERVISORY RESPONSIBILITIES : This position has supervisory responsibilities to include planning, assigning, and directing work or addressing complaints and resolving problems. This position will carry out those responsibilities in accordance with the organization’s policies and applicable laws.
