Description

As an Aviation Associate, you will provide analytical, reporting, administrative and scheduling support for an Aviation Department consisting of approximately 65 employees. Responsibilities include building, producing, analyzing and communicating financial and operational reports to Aviation management and other support groups on a monthly basis. This includes generating data to support invoicing of costs to other companies. It may also require leveraging a network of internal and external company resources to ensure timely, accurate report generation and accomplishing administrative trip scheduling tasks as assigned.

Your responsibilities may include:

  • Producing and analyzing reports for management and operations

  • Producing and analyzing metrics dashboards, benchmarks and PowerPoint presentations

  • Providing oversight and coordination of OK-TX Air Shuttle Operation; including backing up Bartlesville based Shuttle Coordinator for items such as Manifest

  • Performing monthly fuel accounting for executive fleet and shuttle operations

  • Oversight of the Houston Hangar Security team for passenger screening

  • Administration and oversight of the Houston Hangar OK-TX Shuttle lobby:

  • Front Desk Coverage

  • Lobby monitors

  • Shuttle stats

  • Cleanliness, organization and signage

  • Generating monthly Phillips 66 OK-TX Shuttle invoice per cost sharing contract requirements

  • Performing department mobility support, including activation and set-up of phones and tablets for aviation personnel

  • Utilizing SAP to process invoices, perform goods receipts and create vendors for the department using Vendor MasterMinder

  • Maintaining current visas and passports for flight crews

  • Administration of airport SIDA badges for GAS employees and contractors

  • Documenting and maintaining a desk manual of procedures for own position and Houston Security

  • Backup Aviation Admin Assistant

  • Assisting with transportation to/from the airport terminal using a company vehicle

  • Specific projects as assigned by management

Qualifications:

Basic/Required:

  • Must be legally authorized to work in the United States as a U.S. citizen or national, or an alien admitted as permanent resident, refugee or asylee

  • 1 years of administrative, finance or analytical related experience

  • Intermediate proficiency with Windows, Microsoft Word, Excel, and PowerPoint

  • Intermediate proficiency with SAP and/or FOS-NT

  • Valid driver’s license

Preferred:

  • Bachelor’s degree in Finance, Economics, Statistics or similar area

  • Ability to work effectively with little direct supervision

  • Experience in Aviation or related field

  • Takes ownership of actions and follows through on commitments by courageously dealing with important problems, holding others accountable and standing up for what is right

  • Delivers results through realistic planning to accomplish goals

  • Builds effective solutions based on available information and makes timely decisions that are safe and ethical
