Outdoor Therapeutics Mental Health Practice Manager in Frederick, Maryland
Position Overview
We are seeking an enthusiastic practice manager who thrives in a people-oriented role in a start-up environment. We are looking for someone interested in an early-career opportunity that has room for growth based on the candidates skills and interests. This position collaborates with and supports the Administrative Supervisor and clinical team and reports to the practice owner.
Qualifications
- A bachelor's degree in business, marketing, healthcare, psychology or related field
- Minimum of 2 years of experience in administrative and/or program management
- Experience with bookkeeping, accounts receivable and light accounting
- Working knowledge of healthcare settings, management, and operations
- Skills in planning, organizing, delegating, supervising, and gathering data
- Strong customer service skills and comfort speaking to new people
- Proficient verbal and written communication skills
- Ability to take initiative and exercise independent judgment and decision-making
- Proficient with Microsoft Suite including Excel
- Values the role of nature in human healing and trauma-informed care
- Authorized to work legally in the United States and able to pass a background check

- Electronic Health Records (EHR) Management
- Medical Practice Manager Certification (CPPM)
- Foundations of Human Resources and Small Business Management
- Medical billing and claims processing
- HIPAA compliance and related privacy regulations and best practices
- Principles of Nature-Informed Therapy
Administrative Operations
- Manages daily operations of the office remotely and from the receptionist desk
- Problem solves to create efficiency of existing policies and procedures
- Manages practice-wide scheduling for meetings, programs, and administration
- Fields communications from prospective and existing clients / community partners
- Provide property assistance with light housekeeping, supply stocking, building safety, and serve as a point person for tenant needs
Financial Operations
- File weekly medical claims and oversee claims appeals and corrections
- Manage client financial obligations (co-payments, sliding scales, etc)
- Assist with budgeting, billing, and third party vendor obligations
- Conduct financial audits and prepare financial reports
- Client Coordination and Records Management
- Serve as a point person for prospective clients (intake and waitlist management)
- Manage practice email accounts for client communications
- Monitor and screen clients for clinician and practice fit
- Provide client referrals to outside agencies and community resources
- Oversee client satisfaction surveys for quality assurance and continuity of care
- Support the health and satisfaction of the 150+ clients we serve
*Human Resource Responsibilities *
- Support onboarding of new hires and oboarding of departing employees
- Monitor credentialing and licensing requirements of clinical staff
- Oversee paid time off, payroll, and timekeeping procedures
- Work cooperatively to resolve people-related concerns including disciplinary issues, employee satisfaction, and low-stress workflow
*Work Schedule and Compensation *
- Part-Time, 20 hours per week at $20/hour
- Quarterly weekend commitments for program and property assistance
- Semi-flexible schedule and hybrid remote position (office is based in Frederick, MD)
- Eligible for role expansion (increased time and/or responsibilities based on merit)
