The Administrative Assistant will serve as a customer service representative, projecting a courteous and positive first impression to customers. You will determine the reason for contact, identify customer and other required information, and refer inquiries to appropriate staff members, solving customer problems and requests whenever possible. This role involves monitoring the general email and voicemail system, responding to or distributing messages to the appropriate staff members. You will also scan, index, copy, and file a variety of documents, prepare correspondence, materials, and reports, assist with scheduling meetings and teleconferences, and perform other general administrative support duties as required.
Responsibilities
Serve as a customer service representative, projecting a courteous and positive first impression to customers.
Determine the reason for contact and identify customer and other required information.
Refer inquiries to appropriate staff members and solve customer problems/requests whenever possible.
Monitor the general email and voicemail system and respond to or distribute messages to appropriate staff members.
Scan, index, copy, and file a variety of documents including reports, archival materials, articles, and general correspondence.
Prepare correspondence, materials, and reports according to existing formats and standard operating procedures.
Assist with scheduling meetings and teleconferences by creating and monitoring Doodle Polls.
Perform other general administrative support duties as required.
Assist in tracking the status and progress of correspondence, materials, and reports.
Provide support, as needed, for the Education and Outreach program.
Assemble electronic meeting materials as required.
Conduct preliminary reviews of a variety of documents.
Maintain accurate and up-to-date information in the database.
Proof-read correspondence for procedural and grammatical correctness.
Essential Skills
Proficiency in MS Office suite.
Customer service experience, including answering phones.
Typing speed of 40 wpm, verified with testing.
High school education, some college preferred.
2-3 years of admin or front desk experience in a professional setting.
Additional Skills & Qualifications
2-3 years of clerical experience or 5+ years of experience looking for a career change.
Attention to detail and high level of confidentiality.
High level of professionalism.
Flexibility to cross-train in a small office environment.
Writing, word-processing, and experience with Excel, Adobe, PowerPoint, and database software.
Work Environment
The work environment is a smaller office with a total of 13 staff members. The immediate admin team consists of four program assistants, creating a very positive and friendly atmosphere with strong relationships both inside and outside of work. Initially, this will be a 100% on-site role for the training period of 1-2 months, after which the role may move to 1-2 days remote based on performance. Everyone is in the office every Tuesday. The dress code is business casual unless high-level visitors are in town, and the working hours are 8:30 AM to 5:00 PM, Monday through Friday.
Pay and Benefits
The pay range for this position is $17.78 - $20.19/hr.
